Administrative Coordinator

We are seeking a highly organized and detail-oriented Administrative Assistant to support a fast-paced commercial property operations team. This role is ideal for someone who thrives in a dynamic environment, enjoys juggling multiple priorities, and takes pride in keeping operations running smoothly.


What You’ll Do:

  • Support day-to-day office and property management operations
  • Review invoices and assist with billing and tenant chargebacks
  • Coordinate and track service calls and work orders from start to finish
  • Dispatch vendors or internal engineers and ensure timely completion of work
  • Communicate updates to tenants, vendors, and internal stakeholders throughout the work order process
  • Assist with vendor requests, contracts, invoices, and third-party management follow-up across multiple properties
  • Review security reports, video footage, and third-party reports for irregularities
  • Support lease activity by requesting work orders for new leases, renewals, and relocations
  • Prepare vacancy reports, financial reports, and property-related spreadsheets
  • Issue tenant notices and support property communications
  • Assist with RFPs and special projects as requested
  • Support sustainability and compliance reporting, including Energy Star reporting


What We’re Looking For:

  • Strong administrative experience, preferably in property management, real estate, or facilities environments
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Experience with Yardi Voyager is a plus
  • Experience with computerized phone systems is a plus
  • Exceptional attention to detail and follow-through
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Quick learner with a proactive, problem-solving mindset
