Volunteer Coordinator

Classification: Full Time/Non-Exempt                       Reports to: Shelter Manager/Associate Director

Position Summary

The Volunteer Coordinator is responsible for the day-to-day operations of the volunteer program, ensuring volunteers are effectively recruited, trained, scheduled, supported, and retained. This role serves as the primary point of contact for volunteers and creates a consistent, positive experience that keeps people coming back.


Essential Job Duties:


Volunteer Experience & Retention (Core Focus)

  • Serve as the primary contact for volunteers, ensuring timely, respectful communication
  • Build relationships that increase retention and engagement
  • Recognize and celebrate volunteers regularly (formal and informal)
  • Identify and address barriers to volunteer participation

Training & Onboarding

  • Lead engaging volunteer orientations and hands-on training
  • Ensure all volunteers are properly trained before independent work
  • Maintain clear, accessible training materials and SOPs

Scheduling & Program Coordination

  • Manage volunteer scheduling to ensure adequate daily coverage
  • Match volunteers to roles that fit their skills and interests
  • Coordinate with shelter staff to align volunteer support with operational needs

Program Administration

  • Maintain accurate volunteer records, hours, and compliance documentation
  • Track key metrics (retention, engagement, participation trends)
  • Support continuous improvement of volunteer processes and systems

Culture & Communication

  • Foster a welcoming, inclusive, and organized volunteer environment that embraces BCHS values.
  • Communicate updates, needs, and opportunities clearly and consistently
  • Help create a culture where volunteers feel like part of the team—not an afterthought

What Success Looks Like (First 6–12 Months)

  • Volunteers show up consistently and feel confident in their roles
  • New volunteers transition smoothly from orientation to active service
  • Volunteer retention and engagement measurably improve
  • Systems are organized, documented, and sustainable

What We’re Looking For

Required Skills & Experience

  • 1–3 years in volunteer coordination, customer service, training, or similar people-focused role
  • Strong organizational and time management skills
  • Confident communicator (in-person, email, and group settings)
  • Ability to manage multiple priorities without losing attention to detail
  • Comfort working in a fast-paced, sometimes unpredictable environment

Preferred (But Not Required)

  • Experience in animal welfare or nonprofit organizations
  • Experience leading training or group facilitation
  • Familiarity with volunteer management software

Work Environment & Realities

·        Active role requiring time on your feet, interacting with people and animals

·        Emotionally rewarding but can include exposure to challenging animal welfare situations.

·        Weekend and early evening availability required

·        Meet deadlines and respond promptly to all communications.

·        Regular and consistent attendance for the assigned work hours is essential.
