Job Summary:

We are seeking a detail-oriented and proactive Senior Operations Associate to join our growing team. The Senior Operations Associate will serve as a versatile resource supporting both day-to-day client operations and higher-level business initiatives across the advisory enterprise. This hybrid role is ideal for someone who thrives on delivering operational precision while contributing to strategic growth, integration, and process improvement efforts.


Key Responsibilities:

Client & Account Support

  • Support onboarding of new advisors through an integrated M&A onboarding process where the Operations function serves as a key contributor to overall onboarding success.
  • Manage custodial administration and support, including new user setup, rep code creation and management, product rollouts, and technology adoption.
  • Support advisor business efforts through service requests, serving as the escalation point for complex issues, and developing strategies to increase enterprise value.

Custodian & Compliance Support

  • Lead special initiatives and projects aimed at scaling operations, including process creation, improvement, and cross-functional collaboration to enhance efficiency.
  • Liaise with custodians for account servicing, documentation, and issue resolution.
  • Ensure adherence to compliance procedures related to account activities and documentation.

Acquisition & Integration Support

  • Support integration efforts for newly acquired firms or advisors, including account transitions, data migration, and operational alignment.
  • Coordinate with internal and external stakeholders to ensure a smooth onboarding experience during M&A activities.
  • Design and implement scalable digital onboarding processes, including collaboration tools, automation workflows, and training materials, to accelerate advisor integration and improve speed-to-revenue metrics.
  • Design and implement service and operations training programs and processes.

Operational Excellence

  • Design and maintain SLA’s for service and operations function.
  • Contribute to the refinement and documentation of operational workflows to enhance efficiency and consistency.
  • Help identify and implement process improvements and automation opportunities.


Qualifications:

  • 7-10 years of experience in financial services, preferably in a wealth management or RIA setting.
  • Knowledge of custodial platforms (e.g., Schwab, Pershing, Fidelity) and record-keepers (e.g. EMPOWER, Fidelity, Schwab, Voya) is a strong plus.
  • Familiarity with CRMs (e.g., Salesforce, Redtail), portfolio accounting systems (e.g., Orion, Black Diamond, Addepar), and financial planning tools.
  • Strong attention to detail, organizational skills, and a client-first mindset.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Bachelor’s degree in finance, business, or a related field preferred.
  • Series 7 and/or 65/66 preferred.
