Title: Sales Operations Coordinator

Location: Phoenix, AZ


Position Purpose:

The Sales Operations Coordinator supports the RecovR Sales and Operations team by managing day-to-day sales processes, coordinating client-facing operational activities, and ensuring accurate execution across billing, contracts, and internal systems.


This role serves as a key point of contact for dealer administrative teams, providing onboarding support, billing guidance, and ongoing operational assistance. The position works cross-functionally with Sales, Finance, Legal, IT, and Operations to ensure deals are executed efficiently and processes are consistently followed. This role reports to the Channel Partner Operations Manager.


Key Responsibilities:


Data & Workflow Management

  • Maintain data accuracy across internal systems by auditing for completeness, correct stage progression, and required fields
  • Manage deal readiness prior to submission to downstream teams (Admin, Finance, Field Operations, etc.) by overseeing SharePoint workflows and ensuring all required steps are completed
  • Proactively follow up with the Sales team to resolve missing or inconsistent deal data
  • Enforce adherence to approval processes, ensuring all required approvals are completed prior to order processing or contract execution
  • Support and maintain SharePoint structure and Power Automate workflows; demonstrate willingness to learn and update processes as business needs evolve
  • Identify and flag workflow gaps, delays, and data inconsistencies
  • Assist in preparing data and materials for internal meetings and operational reviews


Customer Billing Support and Dispute Resolution

  • Provide support for billing platform training and inquiries, addressing discrepancies and coordinating invoice requests or corrections with internal teams
  • Monitor recurring billing issues, investigate root causes, and identify whether issues stem from system or process gaps
  • Submit and track support tickets with IT to resolve issues impacting billing and revenue operations


Collaboration on Invoicing Tools Development

  • Collaborate with IT and development teams to support enhancements to invoicing tools and workflows
  • Provide feedback on system functionality based on day-to-day usage and evolving business needs
  • Support manual invoicing processes where automation is not yet in place, ensuring accuracy and consistency
  • Identify opportunities for process improvements and automation within billing, invoicing, and reporting workflows


Contract Termination Support

  • Support dealers through the contract termination process by clearly communicating required steps, timelines, and final obligations
  • Respond to dealer inquiries related to terminations and manage associated workflows, including coordinating next steps, performing system updates, and ensuring records are accurate and complete
  • Coordinate with cross-functional teams to finalize account closures and confirm all documentation and actions are completed.


Commission Management

  • Calculate and track commissions for value-added sellers, ensuring accuracy and timely reporting
  • Follow up on workflow approvals related to commission payments to meet processing deadlines
  • Coordinate with Accounts Payable and Treasury teams to confirm entries and resolve discrepancies


Key Skills:

  • Analytical Skills: Ability to review data, contracts, and billing information to identify discrepancies and ensure accuracy
  • Coordination & Follow-Through: Strong ability to manage multiple tasks, track progress, and ensure timely completion across stakeholders
  • Technical Proficiency: Experience with CRM systems, invoicing or accounting tools, and Microsoft Office (especially Excel and SharePoint)
  • Attention to Detail: High level of accuracy in reviewing contracts, invoices, and operational data
  • Curiosity & Learning Agility: Willingness to learn new systems, tools, and processes, including workflow automation and operational tools
  • Process Discipline: Ability to follow and enforce established workflows and ensure compliance with operational procedures
  • Problem Solving: Ability to investigate issues, identify root causes, and collaborate with cross-functional teams on solutions


Profile:

  • Minimum 5 years of experience in Sales Operations, Order / Materials Management, or Sales Execution roles
  • Experience working with cross-functional teams in a fast-paced, operational environment
  • Familiarity with ERP systems (Microsoft D365 preferred; AX2012, NAV or SAP a plus)
  • Comfortable managing multiple priorities and working under tight deadlines
  • Strong team collaboration and communication skills
  • Willingness to learn new tools, including automation and AI-driven solutions, to improve efficiency and reduce repetitive tasks
