Position Overview

Swissvet is seeking a motivated and detail-oriented Operations & Client Support Coordinator to join our U.S. headquarters team. This is a dynamic, hands-on role that blends operations, customer support, and administrative responsibilities.

The ideal candidate is proactive, organized, and eager to learn, with the ability to work independently while contributing to a collaborative team environment. We are looking for someone looking to build a long-term career with a progressive small business.

Salary range: $45,000 - $50,000

Key Responsibilities

Client Support & Sales Operations

  • Answer phones and manage customer inquiries, including sales and service calls
  • Provide exceptional customer service and maintain strong client relationships
  • Process orders, create invoices, and maintain organized invoicing system
  • Coordinate shipment of products, demo equipment, and serviced instruments

Operations & Logistics

  • Receive, check in, and track instruments for service
  • Pack and ship equipment to customers in a timely and accurate manner
  • Maintain necessary documentation
  • Ensure smooth daily operations and workflow efficiency

Administrative & Team Support

  • Assist with general administrative and sales-related tasks as needed
  • Collaborate with team members to maintain an organized and efficient workspace
  • Participate in keeping the office clean and well-maintained

Marketing & Events

  • Contribute ideas for social media content and marketing initiatives
  • Assist with planning trade shows and events, with opportunities to attend


Qualifications

Required

  • Preferred Bachelor’s degree in Business Administration, Operations Management, or a related field; Associate's Degree may be acceptable based on experience
  • Strong interpersonal and customer service skills
  • Excellent communication skills (written and verbal)
  • Ability to work independently and manage multiple responsibilities
  • Proficiency with Microsoft Office Suite and Windows-based systems
  • QuickBooks experience (highly preferred)
  • Positive attitude, reliability, and strong work ethic
  • Willingness to take initiative and think independently
  • Flexibility and strong team spirit
  • Ability to lift up to 40 lbs as needed

Preferred

  • Experience in the equine or veterinary industry
