Position Overview
Swissvet is seeking a motivated and detail-oriented Operations & Client Support Coordinator to join our U.S. headquarters team. This is a dynamic, hands-on role that blends operations, customer support, and administrative responsibilities.
The ideal candidate is proactive, organized, and eager to learn, with the ability to work independently while contributing to a collaborative team environment. We are looking for someone looking to build a long-term career with a progressive small business.
Salary range: $45,000 - $50,000

Key Responsibilities
Client Support & Sales Operations
- Answer phones and manage customer inquiries, including sales and service calls
- Provide exceptional customer service and maintain strong client relationships
- Process orders, create invoices, and maintain organized invoicing system
- Coordinate shipment of products, demo equipment, and serviced instruments
Operations & Logistics
- Receive, check in, and track instruments for service
- Pack and ship equipment to customers in a timely and accurate manner
- Maintain necessary documentation
- Ensure smooth daily operations and workflow efficiency
Administrative & Team Support
- Assist with general administrative and sales-related tasks as needed
- Collaborate with team members to maintain an organized and efficient workspace
- Participate in keeping the office clean and well-maintained
Marketing & Events
- Contribute ideas for social media content and marketing initiatives
- Assist with planning trade shows and events, with opportunities to attend
Qualifications
Required
- Preferred Bachelor’s degree in Business Administration, Operations Management, or a related field; Associate's Degree may be acceptable based on experience
- Strong interpersonal and customer service skills
- Excellent communication skills (written and verbal)
- Ability to work independently and manage multiple responsibilities
- Proficiency with Microsoft Office Suite and Windows-based systems
- QuickBooks experience (highly preferred)
- Positive attitude, reliability, and strong work ethic
- Willingness to take initiative and think independently
- Flexibility and strong team spirit
- Ability to lift up to 40 lbs as needed
Preferred
- Experience in the equine or veterinary industry
