Executive Coordinator

AgroLiquid is looking for a highly experienced, trusted, and proactive Strategic Executive Coordinator to provide high level support to our CEO and leadership team. This role will primarily support the CEO while also working closely with the leadership team as a whole.

This is a high visibility role for someone who has spent their career supporting senior leaders, managing confidential information, coordinating priorities, leading projects, and keeping executives organized, prepared, and moving forward. The right person will bring strong judgment, professionalism, project management experience, follow through, and the ability to work confidently with leadership, board members, ownership, associates, and external partners.


The Strategic Executive Coordinator will serve as a trusted support partner to the CEO and leadership team by helping manage executive priorities, communication, scheduling, meetings, projects, timelines, and follow up.



Key Responsibilities:

  • Provide primary executive support to the CEO, including calendar management, scheduling, daily preparation, meeting coordination, and priority tracking
  • Work closely with and support the Finance Director, Sales & Marketing Director, HR Director, and Operations Director with leadership level coordination needs
  • Lead and coordinate high priority projects, timelines, deliverables, follow up items, and cross functional communication
  • Track project progress, organize next steps, identify gaps, and help ensure deadlines and leadership commitments are met
  • Coordinate executive communication, leadership updates, presentations, meeting materials, and follow up items
  • Support Board of Directors communication, meeting preparation, agendas, scheduling, materials, logistics, and follow up
  • Attend key meetings to capture notes, manage technology, track action items, and distribute follow up communication
  • Coordinate travel, conferences, leadership meetings, shareholder meetings, off site events, and other executive activities
  • Partner with internal teams to support CEO and leadership needs, including presentations, content, communication materials, projects, and special initiatives
  • Support acquisition related activities including scheduling, campaign coordination, due diligence support, project tracking, and market research
  • Research industry organizations, community engagement opportunities, external partnerships, and other business needs as requested
  • Maintain confidentiality and professionalism when working with sensitive company, leadership, board, ownership, HR, finance, operations, sales, marketing, and acquisition related information
  • Bring curiosity, creativity, and initiative to projects, research, process improvement, and executive support needs
  • Use technology to improve organization, communication, workflows, project tracking, and overall efficiency
  • Support company growth, goals, and leadership priorities through strong follow through and attention to detail



What we’re looking for:


The ideal candidate will have a strong background supporting executives, senior leadership teams, ownership groups, or boards while also bringing proven project management experience. This person should be polished, dependable, resourceful, and able to manage multiple priorities, timelines, and confidential matters with professionalism.


Qualified candidates should bring:

  • Minimum of 10 years of relatable experience in executive support, senior administrative coordination, leadership support, project management, office management, board support, or a similar high level business support role
  • Proven project management experience, including organizing timelines, tracking deliverables, managing follow up, coordinating stakeholders, and driving projects to completion
  • Bachelor’s degree in business or related field preferred, or equivalent related experience
  • Previous experience supporting a CEO, President, Owner, executive leader, leadership team, or board
  • Strong ability to manage confidential information with discretion, professionalism, and sound judgment
  • Excellent organization, time management, prioritization, follow through, and attention to detail
  • Strong written and verbal communication skills, including writing, editing, and proofreading
  • Experience preparing agendas, meeting materials, presentations, notes, project updates, and follow up communication
  • Ability to manage complex calendars, scheduling, travel, meetings, events, and project logistics
  • Strong problem solving skills and the ability to make effective independent decisions while knowing when to seek direction
  • Confidence working with Microsoft 365, Outlook, Zoom, PowerPoint, project tracking tools, and other business applications
  • Interest in learning new technology and finding better ways to work
  • Professional, friendly, and diplomatic approach when working with leadership, board members, associates, shareholders, and external partners
  • Ability to take ideas, research, and direction and turn them into successful outcomes
