Project Scheduler

Location: Mount Laurel, NJ (On‑site)

About the Role

We are seeking a highly organized and detail‑oriented Project Scheduler to join our growing team. This role is essential in ensuring our projects are planned, tracked, and delivered successfully—on time, within scope, and on budget.

As a Project Scheduler, you will collaborate closely with cross‑functional teams across Project Management, Drafting, Interactives, Graphics, AV, Production, and Operations. Your ability to coordinate resources, manage schedules, identify risks, and maintain clear communication will directly contribute to project success and positive stakeholder experiences.

Key Responsibilities

  • Develop and maintain detailed project schedules using tools such as Microsoft Project or Primavera P6.
  • Build comprehensive project plans that include scope, objectives, timelines, budgets, resources, dependencies, critical path analysis, and risk assessments.
  • Monitor project progress and proactively identify potential schedule delays or resource constraints.
  • Support Project Managers with budget tracking and cost‑to‑plan comparisons.
  • Assist in the change order process, including documentation, cost estimation, and schedule impact analysis.
  • Contribute to ongoing improvement of project planning tools, processes, and best practices.
  • Prepare and communicate regular project updates, including progress reports, risk evaluations, and schedule adjustments.
  • Participate in project meetings and provide planning support to ensure alignment across teams.
  • Support resource planning and allocation across multiple active projects.
  • Contribute to project proposals and bid development.
  • Utilize project management software and tools effectively to maintain accurate, up‑to‑date project documentation.

  • Budget Control: Support budget accuracy and minimize costly overruns.
  • Resource Utilization: Maximize team and resource efficiency across projects.
  • Change Order Management: Ensure timely, accurate processing with minimal project disruption.
  • Project Documentation: Uphold complete and accurate planning records.
  • Stakeholder Satisfaction: Support strong relationships through proactive communication and problem‑solving.

Qualifications

  • Bachelor’s degree in Engineering, Business Administration, Project Management, or equivalent experience.
  • 3–5 years of project planning or scheduling experience, preferably in exhibit development, fine carpentry, or fabrication.
  • Demonstrated success in developing and executing accurate project plans.
  • Strong understanding of project management methodologies.
  • Proficiency with project management tools (Microsoft Project, Primavera P6, Procore Tools, Microsoft Office).
  • Excellent communication, interpersonal, and collaboration skills.
  • Strong analytical and problem‑solving abilities.
  • Highly organized with strong attention to detail.
  • Ability to manage multiple projects simultaneously in a fast‑paced environment.
  • PMP certification is a plus.
