Position Summary

We are seeking an exceptional Personal Assistant to provide comprehensive support to our Chairwoman. This role requires a polished, proactive professional who can manage complex schedules, coordinate extensive travel, and serve as a trusted liaison for our Chairwoman's charitable endeavors and personal commitments. The ideal candidate will possess impeccable organizational skills, absolute discretion, and the ability to anticipate needs in a dynamic, fast-paced environment.


Key Responsibilities

·      Calendar Management: Maintain and coordinate a complex calendar involving charitable board meetings, social engagements, travel schedules, and personal appointments

·      Travel Coordination: Arrange comprehensive domestic and international travel including flights, accommodations, ground transportation, itineraries, and travel documentation

·      Correspondence: Manage incoming and outgoing correspondence, emails, and phone calls with professionalism and appropriate prioritization

·      Event Management: Track invitations, manage RSVPs, coordinate attendance at philanthropic events, galas, and social engagements

·      Personal Errands: Handle personal tasks and errands as needed, including shopping, gift purchasing, and other personal matters

·      Charitable Organization Support: Coordinate with various charitable organizations, maintain relationships with nonprofit contacts, and support philanthropic initiatives

·      Meeting Preparation: Prepare materials, briefings, and follow-up documentation for meetings and events

·      Liaison Services: Serve as a professional point of contact between the Chairwoman and internal/external stakeholders

·      Confidential Matters: Handle sensitive and confidential information with absolute discretion and professionalism


Required Qualifications

·      Minimum 5 years of experience as an executive or personal assistant, preferably supporting C-level executives or high-net-worth individuals

·      Exceptional organizational and time management skills with proven ability to manage competing priorities

·      Outstanding written and verbal communication skills

·      Advanced proficiency in Microsoft Office Suite, calendar management tools, and travel booking platforms

·      Demonstrated ability to maintain strict confidentiality and exercise sound judgment

·      Professional demeanor with polished interpersonal skills suitable for interacting with diverse stakeholders

·      Flexibility to work occasional evenings or weekends as needed for events or travel

·      Valid driver's license and reliable transportation

·      Bachelor's degree preferred


Preferred Qualifications

·      Experience working with nonprofit organizations or charitable foundations

·      Familiarity with South Florida social and philanthropic community

·      Experience coordinating complex international travel

·      Second language fluency

·      Experience in luxury hospitality, event planning, or concierge services
