Executive/Personal Assistant to CEO Executive Medicine of Texas — Southlake, TX · On-site
Executive Medicine of Texas is hiring an Executive/Personal Assistant to support our CEO across scheduling, communications, events, and day-to-day operations. This is a high-trust, high-variety role for someone who thrives on keeping a busy executive's world running smoothly and wants to be a genuine part of a close-knit team. If you're a self-starter who takes ownership and follows through without being chased, keep reading.
This is a behind-the-scenes role with a front-row seat. You'll work side by side with our CEO, and direct mentorship from leadership is part of the package. It's an ideal next step for someone a few years into their career who's ready to grow, take on real responsibility, and learn from someone who's built a great deal, rather than a fully seasoned EA looking to coast.
What you'll do
- Manage a complex, fast-shifting calendar and coordinate priorities both inside and outside the company
- Serve as a professional point of contact for staff, executives, physicians, vendors, clients, and partners; make sure everyone walks into a meeting prepared so no one's time is wasted
- Coordinate company functions, meetings, and special projects from start to finish
- Support the CEO's public-facing work, including speaking engagements, interviews, and a podcast, handling prep, logistics, and materials so she can step in and focus
- Anticipate needs and stay a step ahead, running daily to-do lists while planning for what's coming next
- Take on marketing and administrative duties as the role grows
- Roll up your sleeves for event setup and hands-on tasks when the moment calls for it
- Provide personal-assistant support to the CEO as needed
You'd be a great fit if you…
- Are a true self-starter who takes initiative and doesn't wait to be told what to do
- Follow through completely, what you own gets done, on time, and you say so clearly when it isn't
- Are exceptionally organized and can juggle multiple moving projects without dropping details
- Ask smart questions and clarify up front rather than guessing, you'd rather get it right than look busy
- Bring ingenuity, you spot problems early and show up with a solution, not just the problem
- Stay calm and steady under pressure and take feedback without friction
- Are easygoing, low-drama, and genuinely collaborative, the kind of person the whole team is glad to have around
- Communicate clearly and proactively, in writing and in person
- Present professionally day to day, and a step nicer for public and speaking events
- Are honest and direct about progress, blockers, and timelines
What we're looking for
- Bachelor's degree preferred
- A track record of staying and growing with employers, ideally 2+ years in previous roles
- Someone early-to-mid in their career who's excited to learn and grow under strong mentorship
- A genuine interest in behind-the-scenes work and supporting a leader well
Nice to have
- Media, PR, or communications background
- Event-planning experience
