Frontline Real Estate Partners is seeking a reliable and proactive Office Manager to lead and support day-to-day office operations at our growing commercial real estate firm.


This role sits at the center of our organization—supporting our team, helping coordinate operations, and ensuring the office runs smoothly in a fast-paced, high-volume environment. The ideal candidate is highly organized, takes ownership, and enjoys being the go-to person who keeps everything on track.


Why This Role Matters

This is more than a traditional office management position. You’ll play a key role in supporting our property management team, assisting with onboarding new properties, and helping maintain consistency across a growing portfolio.


Key Responsibilities

Office & Administrative Operations

  • Oversee daily office operations, including reception, phones, mail, and deliveries
  • Maintain and organize office supplies, files, and common areas
  • Coordinate service, repairs, and general office logistics (equipment, phones, IT setup)
  • Manage document flow including scanning, filing, and delivery coordination
  • Support leadership with meeting preparation, calendars, and travel coordination
  • Set up workstations, keys, and supplies for new team members
  • Maintain a clean, professional, and well-stocked office environment

Property & Portfolio Support

  • Coordinate utility setup and transfers for new and existing properties
  • Maintain and track critical property documentation (COIs, vendor compliance, agreements)
  • Support standardized processes across the portfolio (vendor onboarding, file organization, reporting coordination)
  • Assist property managers with notices, service contracts, and operational documentation
  • Help ensure consistency and organization across shared systems and files

Team & Culture Support

  • Organize internal meetings, team lunches, and company events
  • Help drive a positive, team-oriented office culture
  • Track birthdays, milestones, and assist with internal communications and announcements

Facilities & Vendor Coordination

  • Serve as primary liaison with IT and office vendors
  • Order and manage office, kitchen, and supply inventory
  • Process office-related invoices and monitor recurring expenses

What We’re Looking For

  • 3–5+ years in an administrative, office management, or operations role
  • Highly organized with strong attention to detail
  • Proactive and takes ownership without needing constant direction
  • Comfortable managing multiple priorities in a fast-paced environment
  • Strong communication skills and a professional presence
  • Proficient in Microsoft Office, Dropbox, Adobe, and Teams
  • Experience supporting a real estate company is a plus
