ODF is a growing e-commerce fulfillment company specializing in health and wellness supplement brands. We handle end-to-end fulfillment for some of the top direct-to-consumer supplement brands in the country, operating at scale with a lean, high-performance team. We are executing an ambitious $25M revenue growth plan and building the team and systems infrastructure to get there.



THE ROLE

We are looking for an exceptionally organized, proactive Executive Assistant with heavy project management experience to serve as the right hand of our General Manager. This is not a traditional EA role, you will own the rhythm of the business, keep projects moving across departments, and make sure nothing falls through the cracks as we execute a major growth plan.


The ideal candidate has worked in a fast-paced operations or business environment, thinks three steps ahead, and knows how to hold people accountable without friction. If you thrive in organized chaos and love turning complexity into clarity, this role is for you.


WHAT YOU'LL DO

–    Manage the GM's calendar, priorities, and daily schedule — owning time as a strategic resource

–    Track all active projects and initiatives across Technology, Hiring, Supply Chain, and BD in ClickUp

–    Run weekly team check-ins: prepare agendas, capture action items, follow up on open tasks

–    Draft internal communications, meeting summaries, and executive-level documents

–    Coordinate with department leads to monitor milestones against the company roadmap

–    Identify delays, blockers, and gaps before they become problems and flag them proactively

–    Handle confidential information with absolute discretion


WHAT WE'RE LOOKING FOR

–    3+ years of experience as an Executive Assistant, Operations Coordinator, or Project Manager

–    Demonstrated experience managing cross-functional projects with multiple stakeholders

–    ClickUp proficiency is required, you should be comfortable building out task lists, managing workflows, and keeping projects on track inside ClickUp

–    Exceptional written and verbal communication skills: clear, concise, and professional

–    High EQ, you know how to navigate relationships, read the room, and influence without authority

–    Process-oriented thinker who documents everything and builds systems that scale

–    Self-starter who can manage up, down, and sideways without constant direction

–    Experience in e-commerce, operations, logistics, or a fast-growth startup environment is a strong plus
