Executive Assistant, Investor Relations — New York

A leading, globally recognized hedge fund with nearly five decades of operating history and approximately $80 billion in assets under management is seeking an Executive Assistant to support their Investor Relations team out of their New York office. This is a client-facing, detail-intensive role that sits at the intersection of executive support and investor services, requiring someone who is polished, proactive, and highly organized. Core hours are 8am–6pm ET, with flexibility during time-sensitive periods.


About the Role

Reporting to the Senior Director of Administrative Operations, this EA will serve as an integral part of the IR team — managing the day-to-day administrative flow while also taking on meaningful client service responsibilities. The ideal candidate is equally comfortable coordinating complex schedules and managing a CRM system as they are handling direct investor inquiries with professionalism and discretion.


Key Responsibilities

  • Provide comprehensive administrative support to the Investor Relations team including calendar management, phone coverage, contact management, meeting coordination, and ad hoc projects
  • Schedule and coordinate meetings across multiple time zones, including direct coordination with investors and internal stakeholders
  • Set up conference rooms and arrange food and beverages for meetings as appropriate
  • Prepare and coordinate materials for meetings, calls, and follow-ups
  • Manage meeting details and input into Backstop CRM system
  • Maintain the conference calendar in coordination with other EAs and the reception team
  • Coordinate event registration, travel arrangements, and itineraries for the IR team
  • Prepare and reconcile expense reports for the IR team
  • Proactively address client administrative matters to ensure all investor service expectations are met
  • Maintain and monitor the CRM system for data completeness and accuracy, including client account setup, distribution lists, and weekly emails
  • Assist with client queries including address changes, legal forms, and due diligence questionnaires
  • Process access requests for the data sharing platform, Intralinks


Ideal Candidate

The ideal candidate brings 3–5 years of executive assistant experience, ideally with at least one year in a client-facing or investor services capacity. They are exceptionally detail-oriented, able to prioritize effectively under pressure, and skilled at recognizing time-sensitive and confidential matters. A collaborative team player who exercises sound judgment and maintains confidentiality at all times. Proficiency in MS Office is required; Backstop experience is a plus.

Education Bachelor's degree required.
