Responsibilities
- Orchestrate the CEO’s business development efforts by managing inbound opportunities, conducting targeted research on companies and senior executives, and coordinating high-level meetings with thoughtful, well-prepared briefing materials.
- Oversee all follow-up communications, including tailored proposals and client materials, while maintaining accurate and actionable data within the firm’s CRM and business development pipeline.
- Develop and maintain a deep understanding of clients, industries, executives, and board members to support informed decision-making and strategic outreach.
- Manage complex, high-volume correspondence with precision and sound judgment, ensuring priorities are aligned and communications reflect the firm’s standards.
- Lead client onboarding and ongoing project coordination, including tracking activity, monitoring deliverables, and providing the CEO with regular, forward-looking updates and prioritized action items.
- Support board and executive search efforts by preparing comprehensive outreach materials, drafting bespoke communications, tracking engagement, and managing follow-through with senior stakeholders.
- Produce high-quality, client-facing deliverables, including correspondence, board profiles, and meeting or reference transcripts, with rigorous attention to detail and brand consistency.
- Coordinate a demanding schedule of meetings, calls, and travel, ensuring seamless execution and proactive management of logistics, itineraries, and expenses.
- Handle sensitive and confidential matters with the highest level of discretion and professionalism.
- Provide seamless personal support to the CEO, managing logistics related to personal travel, scheduling, and special projects.
Ideal Experience
- Bachelor’s degree required; 6–10 years of experience supporting multiple senior executives in a professional services environment (investment banking, consulting, or executive search preferred).
- Advanced proficiency across Outlook, Word, Excel, PowerPoint, and Adobe; strong typing skills and accuracy.
- Highly professional, self-directed, and accountable, with a strong sense of ownership and the ability to operate independently and collaboratively.
- Exceptional judgment and discretion in handling confidential information, managing relationships, and representing the office of the CEO.
- Excellent written and verbal communication skills, with the ability to engage confidently with C-suite and board-level executives; strong editing and proofreading capabilities.
