POSITION OVERVIEW

The Senior Manager, Cultural Event Production is the operational and execution leader for Faena Rose's year-round program of 80+ cultural events. Programming strategy and headline talent selection are owned by the President & Co-Founder. This role is responsible for translating that vision into flawlessly executed, on-budget, patron-loved events — and for sourcing and producing smaller-scale local programming (artist & gallery studio visits, local venues for social mixers, intimate cultural moments) in which the Co-Founder & President need not be directly involved.

This is a hands-on production leadership role for someone who treats execution as a craft, is in the room at every event, manages a team of 3 event managers and freelance production staff, and is energized by raising the standard event after event.

REPORTING STRUCTURE & KEY PARTNERSHIPS

  • Reports to: General Manager
  • Direct reports: 3 Event Managers / Production Associates, plus contracted project managers and freelance production staff
  • Key partnerships: Co-Founder & President (programming direction and headline talent), Member Relations, Marketing, Membership Sales, Financial Controller, Faena Hotel banquets and operational teams.

DUTIES AND RESPONSIBILITIES

1.  Event Production & Execution

  • Lead end-to-end production of 80+ cultural events per year — from intimate dinners, screenings, and salons to key cultural moments and signature original programming formats, including Roses & Thorns and Faena Rose Rumble.
  • Translate creative direction from the Co-Founder & President into detailed production plans, run-of-show, vendor scopes, floor plans, and on-the-ground execution.
  • Own the full talent acquisition process from selection forward. Once the Co-Founder & President identifies and confirms talent, you own everything required moving forward: contracting and negotiation, riders, holds, scheduling, travel, accommodations, car service, hospitality, and on-site experience.
  • Create and route Banquet Event Orders (BEOs), floor plans, run-of-show, and other production documentation for approval.
  • Manage event load-in, on-site execution, and load-out. Be physically present at every event unless approved by the GM.
  • Prepare and distribute post-event talent thank-you gifts, recap notes, and production folder close-out within 48 business hours of each event.

2. Local Programming Ideation

  • Source, propose, and execute smaller-scale local programming — artist & gallery studio visits, local venues for social mixers, intimate cultural moments.
  • Build and maintain a working knowledge of Miami's cultural ecosystem: artists, galleries, chefs, performers, and venues that align with the Faena Rose community.
  • Bring 2-3 local programming ideas per month to the Co-Founder & President for approval, with clear scope, cost, and patron fit.

3. Skills

  • Strong project management and organizational skills with the ability to manage up to a dozen events in production simultaneously. This is a high-volume, high-pressure operation.
  • Excellent written and verbal communication. Able to collaborate seamlessly with internal teams, vendors, talent, and Faena Hotel partners.
  • Skilled in building and managing production timelines, run-of-show documents, BEOs, and floor plans.
  • Financially literate. Comfortable with budgets, reconciliations, and live spend tracking.
  • Calm and solutions-oriented under pressure. Ensures smooth execution of events with audiences ranging from 20 to 400.
  • Deep curiosity for art, culture, and current events that enhance programming and member experience.
  • Familiarity with the hospitality industry; luxury hotel event experience strongly preferred.
  • Self-motivated, reliable, professional, hardworking, and a true team player.
  • Creative and flexible with strong problem-solving skills.

4. Physical Requirements

  • Ability to move safely on uneven terrain or in confined spaces
  • Ability to see and respond to dangerous situations
  • Ability to remain in a stationary position for 8 hours or more
  • Ability to lift or carry up to 40 lbs

5. Success Metrics

  • On-time delivery: 95%+ of events hit key prep milestones and start on time.
  • Budget discipline: Cultural programming budget delivered on budget annually.
  • Event satisfaction: 90%+ post-event member satisfaction.
  • Average event attendance: 80%+ of confirmed RSVPs.
  • Close-out speed: every event wrapped within 48 business hours (invoices, notes, thank-you gifts, production folders).
  • Operational records & safety: 100% of events have complete documentation (run-of-show, floor plan, BEO); zero recordable safety incidents.

6. Qualifications

  • 10+ years of experience in event planning and production. Luxury hotel or premium hospitality event experience required.
  • Prior management experience leading event or production staff.
  • Proficient in Microsoft Office Suite, Adobe Creative Suite, Google Office Suite, and Canva, and with BEOs.
  • Familiarity with CRM platforms; PeopleVine preferred.
  • Familiarity with project management tools such as ClickUp, Trello, Monday, or Asana is a bonus.
