Program Management Operations Coordinator
Pay Hourly: $30-35 per hour W2
Hours: 8-5pm
Start Date: On June 1st - Interviews will take place during the first two weeks of May.
Duration: June 2026-Feb 2027, 9 months
Onsite/Remote: Onsite Tuesday–Thursday strongly preferred near Hudson, MA
Interview Process: 2 rounds
Team structure: Small, collaborative environment (2 team members will be working onsite with you on in-office days)
The Operations Coordinator will support the R&D Program Management and Executive Leadership teams during a critical coverage period. This position blends executive-level administrative support with program coordination, ensuring seamless operations across leadership and project teams.
The ideal candidate brings strong executive presence, thrives in a fast-paced environment, and is comfortable balancing scheduling, coordination, and project support. There is an expected 4–6 week ramp-up period.
Day-to-Day Responsibilities
- Manage complex calendar scheduling for senior leadership
- Provide high-touch executive support, including meeting coordination, travel planning, and expense support
- Prepare agendas, meeting materials, and presentations (PowerPoint/slide decks)
- Capture meeting notes, track action items, and ensure follow-ups are completed
- Support R&D program operations, tracking deliverables, timelines, and cross-functional activities
- Assist with governance meetings and leadership forums
- Build and maintain project tracking tools and dashboards using Smartsheet, Excel
- Partner with internal stakeholders to support ad hoc projects and operational needs
- Maintain organized documentation and communication across teams
Must-Haves:
- Strong experience supporting senior executives (calendar management, scheduling, coordination)
- Demonstrated executive presence and ability to interact with leadership confidently
- Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word)
- Experience with project coordination tools such as Smartsheet, MS Project, Teams
- Experience managing multiple priorities and operating in a fast-paced environment
- Strong organizational skills, attention to detail, and excellent communication skills
Nice-to-Haves:
- Experience supporting R&D or technical teams
- Background in biotech or pharma (helpful but not required)
- Prior experience in a PMO or project coordination role
- Exposure to governance processes or portfolio tracking
