Foundation Operations Coordinator

The ASES Foundation was established in 1984 by American Shoulder and Elbow Surgeons Society (ASES) to assist in carrying out charitable and educational functions of the ASES. The purpose of this independent entity is to engage in, advance, support, promote and administer charitable and educational activities, causes and projects. The mission of the ASES Foundation is to foster scientific advances and enhance the study of shoulder and elbow surgery.


As the Foundation Operations Coordinator, you will be responsible for coordinating daily operations as well as assisting with the planning and implementation of the ASES Foundation’s philanthropic activities and events within established timelines to facilitate and maintain healthy and viable organization in accordance with key association management principles and ethics.


RESPONSIBILITIES:

1.  Assist with the ASES Foundation Fundraising & Donation Activities

2.  Manage Grants, Awards and Special Funds

  • Coordinate the collection and review of grants; submit and distribute funding requests; collect reports from recipients and publish them as directed.
  • Manage the communication and tracking of grant applications, agreements, and other documentation
  • Coordinate the collection and review of award applications and activities undertaken by awardees as a result of receiving awards (final reports).

3.   Assist leadership with development of new grants and awards; develop policies and procedures; track applications, process invoices and record program payments.


4.   Database & Systems Management

  • Serve as primary administrator for Foundation systems including DonorPerfect, OpenWater, MemberClicks, and WordPress
  • Maintain accuracy and integrity of all donor, grant, and program data across platforms
  • Generate and distribute regular reports on donations, campaign performance, and program activity
  • Build and maintain reports, dashboards, and queries to support fundraising and operational decision-making
  • Troubleshoot system issues and recommend process improvements to increase efficiency
  • Own updates to Foundation web pages and digital content, ensuring all donation opportunities, campaigns, and recognition listings are current, accurate, and user-friendly. 

5.   Manage donor data and donation processing workflows, including maintaining donor records, generating invoices, processing contributions, and ensuring timely acknowledgments. 

6.   Manage the National Shoulder and Elbow Week philanthropic events in collaboration with the ASESF Manager of Development and Operations and vendors responsible for fundraising and meeting planning activities.

  • Support and communicate with local hosts 
  • Facilitate payments, set-up and manage registration, donation, and sponsorship forms
  • Assist with preparation of marketing materials and outreach to potential participants
  • Assist with event reconciliation process

7.   Support the Foundation’s mission and vision by serving as a liaison to assigned committees and project teams; maintain records and historical data.


8.   Support the ASES and Foundation Accounting Team.

  • Create invoices as needed and assist members and donors with reimbursement reports.
  • Record and track the society and foundation’s payments in the ASES Foundation’s database
  • Assist with payables and receivables and collect reports for monthly reconciliations
  • Maintain paper and electronic donor records


9.   Work with the Marketing Coordinator and ASESF Manager to support the Foundation’s marketing needs


 QUALIFICATIONS:

  • Undergraduate degree or equivalent work experience
  • 1-2 years of association/foundation experience preferred
  • Proficient in Microsoft Office
  • Experience with CRM/database systems (DonorPerfect, MemberClicks, or similar), bulk -email software, WordPress or similar website design platforms strongly preferred, but not required
  • Strong data management and reporting skills, including experience working with large datasets
  • High level of comfort learning and managing multiple software platforms
  • Excellent member service mentality and delivery
  • Effective verbal and written communications
  • Strong organization and interpersonal skills 
  • Ability to think proactively and creatively 
  • Must excel in a fast-paced, team-oriented environment 
  • Integrity and credibility with leaders, donors, members, vendors, and staff
  • Complies with all safety policies and practices of the organization and all safety standards associated with this position, including the use of personal protective equipment.
