Compensation: $27.50 per hour

Storytelling education nonprofit Cosmic Writers is seeking a highly organized and proactive Part-Time Operations Associate to support the Chief of Staff in strengthening the organization’s operational infrastructure during an important stage of growth. This role is focused on operational support. You will work closely with the Chief of Staff to design, implement, and maintain an organized, auditable, and scalable operational infrastructure.
This role is ideal for someone who enjoys building systems, organizing processes, and supporting the behind-the-scenes operations that help mission-driven work thrive. The Operations Associate will assist with administrative coordination, operational systems, staffing processes, compliance tracking, and CRM support across several core areas of the organization.
The position offers an opportunity to contribute meaningfully to a growing social impact organization while helping establish foundational systems for long-term sustainability and scale.
Key Areas of Support
Compliance & Insurance
- Assist with tracking organizational compliance requirements and deadlines
- Support insurance-related administrative coordination and documentation
- Maintain organized operational records and files
Contracts & Invoicing
- Support preparation, organization, and tracking of contracts and agreements
- Assist with invoicing coordination and financial administrative tasks
- Help maintain organized vendor and contractor documentation
Banking & Financial Administration
- Support financial administrative processes and internal tracking systems
- Assist with banking coordination and operational documentation
- Maintain organized financial administrative records
Staffing & Leadership Support
- Assist with onboarding logistics and staff administrative processes
- Support hiring coordination and operational scheduling
- Provide administrative support for internal leadership operations
Policies, Procedures & Workflow Systems
- Help organize and develop internal policies and procedures
- Assist with workflow documentation and operational systems coordination
- Support process improvement and internal organizational systems
Donor Management / CRM Operational Support
- Assist with CRM organization and donor database support
- Help maintain accurate records, reporting, and operational tracking systems
- Support internal data organization and administrative coordination
Qualifications
Requirements
- Bachelor's degree required; recent graduates are strongly encouraged to apply.
- Comfortable using AI tools to improve efficiency, streamline workflows, and support the development of systems and processes.
- Ability to design systems — not just execute tasks
- Comfortable working independently in a remote environment
- Experience working with donor data or CRM systems
- Have taken at least one computer science class
Nice-to-Haves
- Familiarity with nonprofit reporting (e.g., Form 990, Schedule B-style reporting)
- Familiarity with custom-built CRM systems and operational workflow tools preferred
- Passion for literacy, youth, storytelling, education, and/or creative writing
