Moutonière is seeking a highly intelligent, systems-oriented Operations Associate to own the operational infrastructure of a growing luxury fashion house — including production coordination, cross-functional project management, launch execution, and AI-powered workflow tooling.

Moutonière is a new luxury house that produces limited-edition collections designed by contemporary artists and produced by heritage artisans for the modern patron. Since launching our first collection of silk scarves at Paris Fashion Week in 2024, we have expanded into outerwear, bags, silk sets, and fine jewelry, building a world shaped by craftsmanship, artistry, and enduring design.

As we prepare to launch our Spring/Summer 2027 collection and open our first retail location in Austin, we are building the operational backbone that will allow our product and creative teams to focus on what they do best.

Position Overview

This role sits at the intersection of production operations, project management, vendor coordination, and marketing launch execution. When a fabric delivery slips two weeks, you are the one who figures out the downstream impact, updates the production timeline, and communicates the change to PR before they pitch a story with the wrong ship date. When an AI workflow needs to run on Monday morning, you run it.

This is not a role for someone who needs a manager. You will be working directly with the founders, managing a complex multi-track launch calendar, coordinating across international vendors, and ensuring nothing falls through the cracks across production, packaging, campaign, and ecommerce workstreams — simultaneously.

The ideal candidate is exceptionally organized and analytically rigorous, with strong written communication and the intellectual horsepower to learn a new domain quickly and operate independently within it.



Key Responsibilities

Production Operations & Vendor Coordination

  • Facilitate all vendor communication across production partners including cut-and-sew factories, embroidery houses, fabric mills, packaging suppliers, and hardware vendors
  • Draft and send routine vendor emails, follow-ups, and status checks; escalate issues with clear context and proposed resolutions
  • Track incoming and outgoing shipments, confirm receipt, and manage courier bookings
  • Collect and maintain vendor information including pricing, minimum order quantities, lead times, and sample timelines
  • Coordinate logistics for samples and materials moving between partners across multiple countries
  • Work with our product associate to populate order forms, bills of material, cutter's musts, and production documents with accurate specs from the product team
  • Maintain version-controlled technical files and ensure the right documents are sent to the right partners at the right time


Project Management & Cross-Functional Coordination

  • Own the master production and marketing launch calendar, updating it weekly based on real-time information from vendors, the product team, and the Founders
  • Identify timeline slippage early, model the downstream impact across dependent workstreams (production → packaging → PR → ecommerce → campaign), and communicate changes proactively
  • Run a weekly production status review, flag open items, and drive accountability across all workstreams
  • Maintain the project management tool as a live, accurate, and actionable source of truth
  • Translate decisions made in calls and meetings into documented action items and tracked next steps
  • Connect production timelines to marketing release timelines — so that when something changes in one, the other updates accordingly


Marketing Launch Execution

  • Own the operational execution of the SS27 launch playbook, including all production handoffs tied to campaign, ecommerce, packaging, social, PR, and paid advertising workstreams
  • Coordinate asset delivery between the campaign team, ecommerce, and PR — ensuring the right files are organized, formatted, and delivered on time
  • Track and manage all ecommerce build tasks including Shopify product uploads, PDP asset requirements, and launch-mode updates
  • Maintain Dropbox organization across all creative, production, and marketing asset categories
  • Support packaging production coordination, from sample reviews through production orders and intake QC
  • Ensure PR partners are notified of any timeline changes before they pitch or commit to press
  • Maintain the SS27 campaign shoot coordination tracker across crew, locations, deliverables, and file receipt dates


AI Workflow & Tooling Operations

  • Operate and maintain operational workflows, including weekly production summaries, vendor follow-up drafts, PR communication flags, and project plan updates
  • Run automated agents on a recurring schedule and QA outputs before distribution
  • Help identify new opportunities to automate repetitive coordination work
  • Maintain the company's Notion Company Bible as a live operational reference, updating vendor records, contacts, timelines, and workstream status on a regular cadence


Administrative & Data Management

  • Organize meeting notes and translate them into action items and updated plans
  • Manage measurement conversions, spec formatting, and data entry across technical documents
  • Coordinate file conversions and asset formatting as needed across AI, PSD, PDF, and related formats
  • Support import/export coordination and customs documentation when required



Preferred Qualifications

  • 2–5 years of experience in management consulting, investment banking operations, startup operations, program management, or a similarly rigorous, analytically demanding field
  • Bachelor's degree required; strong academic record preferred
  • Exceptional organizational and project management skills — you have managed multiple complex workstreams simultaneously and nothing has slipped
  • Strong written communication: clear, concise, and professional at every level of correspondence
  • High analytical ability; you can model downstream impacts, spot inconsistencies, and communicate complexity simply
  • Comfort with ambiguity and ability to act decisively without complete information
  • Proficiency in Google Workspace, Notion, ClickUp or equivalent PM tools, Shopify, Dropbox, and Canva
  • Willingness and ability to learn fashion production processes quickly — prior industry experience is not required


Strong Plus

  • Experience in a startup or early-stage environment where you built systems from scratch rather than inheriting them
  • Familiarity with AI tools, prompt workflows, or automation tooling
  • Prior exposure to supply chain, logistics, or vendor management
  • Experience managing international vendor relationships across time zones

This is a full-time W-2 position based in Austin, Texas, in-office at Moutonière's studio and showroom just off South Congress.
