A highly respected professional services organization is seeking a bright, polished, and proactive Operations Assistant to support a senior executive and contribute to the success of a dynamic department focused on innovation, technology, and strategic initiatives.


This role is ideal for someone who enjoys being at the center of operations, thrives in a fast-paced environment, and takes pride in anticipating needs, solving problems, and managing a wide variety of projects. The successful candidate will serve as the primary administrative partner to a senior executive while also providing support across the broader team.


The role is on-site four days per week and offers a base salary of $90-110k.


Key Responsibilities

  • Manage a complex and constantly evolving executive calendar, prioritizing competing demands and ensuring efficient use of time
  • Coordinate meetings with internal and external stakeholders, including scheduling, logistics, agendas, and materials
  • Track action items, deadlines, and key deliverables to ensure timely follow-through
  • Arrange domestic and international travel and maintain business contact information
  • Prepare, review, and process expense reports
  • Create and organize presentations, meeting materials, and other documentation
  • Support department-wide events, including town halls, leadership meetings, team gatherings, and special programs
  • Coordinate onboarding activities for new hires, including workspace setup, technology access, supplies, and orientation logistics
  • Provide administrative, operational, and project support to department leadership as needed
  • Assist with special projects and process improvement initiatives
  • Handle sensitive and confidential information with professionalism and discretion


Qualifications

  • Bachelor's degree preferred
  • 5-8 years of administrative, executive assistant, operations, or project coordination experience
  • Experience supporting senior executives in a corporate or professional services environment strongly preferred
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication abilities
  • Proven ability to manage multiple priorities in a fast-paced environment
  • Resourceful, proactive, and able to anticipate needs before they arise
  • Strong judgment and ability to handle confidential information
  • Professional presence with excellent interpersonal skills
  • Ability to work independently while also collaborating effectively with a team
  • Advanced proficiency with Microsoft Office Suite
