We are growing and looking for a detail-oriented Office Coordinator to support daily operations.


Position Overview

The Office Coordinator plays a key role in supporting administrative operations, scheduling, customer communication, and program coordination. This is an on-site role that requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities


Administrative & Operations Support

  • Manage incoming calls, emails, and customer inquiries
  • Support daily office operations and administrative tasks
  • Maintain organized documentation and customer records


Program Coordination & Scheduling

  • Weatherization scheduling and coordination
  • Intake processing and client onboarding
  • Assist with Eplus program coordination
  • Track and update project timelines and status


Permitting & Documentation

  • Assist with permits and required documentation
  • Ensure files are complete and compliant
  • Support invoicing preparation and documentation review


Inventory & Office Support

  • Assist with inventory tracking and ordering
  • Coordinate office supplies and operational needs


Customer Communication

  • Communicate with clients regarding appointments and updates
  • Provide professional customer service and follow-ups


Qualifications

  • Strong organizational and multitasking skills
  • Excellent communication and customer service skills
  • Basic to intermediate Microsoft Excel experience
  • Ability to work in a fast-paced environment
  • Bilingual English/Spanish preferred
  • Salesforce or CRM experience preferred
