Office Coordinator (Facilities & Workplace Support)

Location: Miami Beach, FL (Onsite)


A global financial services firm is seeking an Office Coordinator to support its Miami Beach office. This is a hands-on, highly visible role responsible for ensuring the office is fully operational, organized, and ready for employees each day.


This position is ideal for someone who enjoys being active, takes pride in maintaining a polished environment, and is comfortable owning the day-to-day office setup. The right candidate is reliable, proactive, and energized by keeping a professional workplace running smoothly.


Responsibilities

  • Open and prepare the office each morning, ensuring all common areas are set up and ready for the day
  • Maintain the overall appearance and functionality of the office, including meeting rooms, pantry, and shared spaces
  • Restock snacks, beverages, and office supplies; manage inventory and place orders as needed
  • Unload dishwasher, organize kitchen areas, and ensure cleanliness throughout the day
  • Liaise with building management, security, and external vendors for maintenance and service needs
  • Greet guests and ensure a professional, welcoming office experience
  • Manage conference room scheduling, setup, and upkeep
  • Support deliveries, office moves, and general facilities-related logistics
  • Partner with IT vendors on basic office technology coordination
  • Answer the main office phone line and assist with general administrative tasks

Qualifications

  • 1–3+ years of experience in office support, workplace services, facilities, or a similar hands-on role
  • Comfortable in an active role that requires being on your feet throughout the day
  • Reliable and punctual, with the ability to consistently start early (7:30 AM onsite)
  • Strong work ethic with a proactive, “no task too small” mindset
  • Professional demeanor with strong communication skills
  • Organized and detail-oriented, with the ability to manage multiple responsibilities
  • Proficiency in Microsoft Office
