Administrative Assistant

Location: St. Louis Park, MN (Fully Onsite)

Compensation: $40,000-$55,000 annually

Schedule: Monday-Friday, onsite

About the Role

An established accounting firm in St. Louis Park is seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations and assist our accounting team. This role is ideal for someone proactive, professional, and comfortable working in a client-facing environment. You will play a key part in keeping the office running smoothly, supporting both internal staff and external clients.


Key Responsibilities

  • Greet and assist clients, visitors, and vendors in a professional and welcoming manner.
  • Answer and route incoming phone calls; manage voicemail and client messages.
  • Provide administrative support to accountants and leadership, including scheduling, document preparation, and filing.
  • Organize, scan, and maintain electronic and physical records, ensuring accuracy and confidentiality.
  • Assist with assembling tax returns, financial statements, and client packets.
  • Manage incoming and outgoing mail, including certified and time-sensitive documents.
  • Coordinate office supplies, maintain inventory, and manage vendor relationships.
  • Support billing activities by preparing invoices, tracking payments, and updating internal systems.
  • Help maintain office organization, meeting room readiness, and general workflow efficiency.
  • Assist with special projects during peak accounting periods (tax season, year-end, audits).


Qualifications

  • 1-2+ years of administrative, office, or receptionist experience (professional services or accounting firm experience a plus).
  • Strong organizational skills with exceptional attention to detail.
  • Excellent communication skills, both verbal and written.
  • Proficient in Microsoft Office (Outlook, Excel, Word) and comfortable learning new software.
  • Ability to maintain strict confidentiality regarding financial and client information.
  • Professional demeanor with strong customer service skills.
  • Ability to manage multiple deadlines in a fast-paced environment.
