Position Summary:

Cohen Seglias is seeking a motivated and detail-oriented Legal Administrative Assistant to join our Washington DC office. This position provides direct administrative support to assigned attorneys, ensuring efficient and timely completion of tasks. The ideal candidate will be a collaborative team player who is comfortable working in a fast-paced environment and supporting colleagues with overflow and providing backup when needed.


The successful candidate will have 5+ years of heavy litigation experience, including extensive e-filing knowledge, and must demonstrate strong proficiency with legal technology and document management systems – iManage experience is strongly preferred.


Responsibilities:

  • Provide comprehensive administrative support to assigned attorneys.
  • Prepares, finalizes, and files legal documents, including correspondence, pleadings, motions, and other court filings.
  • Drafts cover letters and routine legal correspondence.
  • Proofreads all documents for accuracy, grammar, formatting, and consistency.
  • Revises and edits documents as directed by attorneys.
  • Handles extensive eFiling in D.C., Maryland, Virginia and Federal Courts.
  • Coordinate faxing, copying, scanning, and mailings, ensuring all exhibits and attachments are complete and properly included.
  • Performs heavy document management in iManage, including uploading, organizing, and maintaining physical and electronic documents and emails (e.g., correspondence, pleadings, discovery).
  • Formats legal briefs, including inserting and updating Tables of Contents and Tables of Authorities.
  • Edits and manages PDFs extensively, including combining documents, inserting exhibit cover pages, adding signatures, and applying required formatting edits.
  • Maintains and manages attorney calendars using the firm’s calendaring system, including court dates, meetings, appointments, and critical legal deadlines.
  • Reviews incoming correspondence and pleadings to calculate, docket, and calendar court and discovery deadlines.
  • Maintains well-organized and up-to-date case files within iManage.
  • Updates firm systems with case-related information, including party details, representation status, and contact information.
  • Performs financial and administrative tasks, including preparing expense reimbursements, coding attorney credit card charges, submitting check requests, and recording court filing payments made with firm credit cards.
  • Opens new client matters in accordance with firm procedures, including conflict checks, engagement letters, and intake documentation.
  • Prioritizes and manages multiple assignments to ensure accuracy and timely completion.
  • Adheres to all firm Standard Operating Procedures and administrative guidelines.


Skills/Knowledge Requirements:

  • Strong computer proficiency, with advanced working knowledge of Microsoft Office 365, including Word, Outlook, PowerPoint, and Excel.
  • Prior experience using document management systems and docketing/calendaring software in a law firm environment.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail with strong proofreading and quality-control abilities.
  • Highly organized with the ability to manage multiple tasks, competing priorities, and deadlines in a fast-paced environment.
  • Ability to interact professionally and effectively with attorneys, staff, clients, and external contacts.


Education/Experience Requirements:

  • High School Diploma or equivalent required. Associate's degree preferred.
  • Minimum of 5 years of experience as a legal administrative assistant within a Law Firm, including litigation experience and e-Filing.
  • Familiarity with Microsoft Office 365
