We are seeking a Project & Administrative Assistant to join our Boca Raton office.


What You’ll Be Working On:

As a Project & Administrative Assistant, you will play a key role in supporting a variety of administrative and technical duties.


Responsibilities:

  • Perform general administrative and office support functions
  • Support the group’s business development and marketing initiatives
  • Maintain databases and prepare reports to support client management and practice development
  • Conduct data entry, summarize financial information, and manage documentation and bookkeeping tasks
  • Assist in the preparation, formatting, and editing of proposals and pitch materials
  • Facilitate effective communication within the group and across the firm
  • Develop and prepare PowerPoint presentations for current and prospective engagements
  • Compile and organize information required for project initiation and close-out processes
  • Assist with timekeeping, billing processes, and preparation of standardized legal documents for court filings, as well as other reporting requirements
  • Support the collection, organization, and maintenance of client data
  • Conduct industry and company research to support projects and business development efforts
  • Coordinate billing activities and invoice processing


What We’re Looking For:

We’re seeking skilled professionals who can organize tasks, track progress, manage documentation and facilitate communication among stakeholders.


Qualifications:

  • Minimum of five (5) years of relevant professional experience required
  • Associate or Bachelor’s degree in a related field preferred
  • Prior experience in paralegal work, bookkeeping, or accounting is advantageous
  • Excellent written and verbal communication skills in English
  • Advanced proficiency in Microsoft Office Suite (PowerPoint, Word, Excel, Access) and QuickBooks
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Demonstrated adaptability and ability to manage competing demands under pressure
  • Strong interpersonal, communication, and problem-solving skills
