Responsibilities

  • Oversee complex, high-volume scheduling across a team, ensuring priorities are aligned and time is optimized. Proactively manage conflicts, shifting priorities, and last-minute changes with discretion and efficiency.
  • Prepare, review, and submit detailed expense reports promptly, ensuring accuracy and compliance with company policies. Track and reconcile expenses, flagging discrepancies as needed.
  • Manage end-to-end travel logistics, including flights, accommodations, ground transportation, and itineraries. Anticipate travel needs, adjust plans as necessary, and ensure a seamless experience.
  • Maintain and update a highly organized and accurate contact database, ensuring proper documentation.
  • Handle phone traffic with professionalism, serving as a key point of contact for internal and external callers. Screen and route calls appropriately while maintaining a polished, customer-focused demeanor.
  • Monitor and track compliance-related activities, ensuring deadlines and regulatory requirements are met. Prepare reports and maintain documentation to support audits and internal reviews.
  • Coordinate meetings, including securing conference rooms, managing logistics, preparing materials, and ensuring all details are executed flawlessly.
  • Provide support on ad hoc research initiatives, presenting information in a clear and concise format.
  • Function as a key member of a collaborative administrative team, providing cross-coverage and support to ensure seamless operations across the organization.
  • Provide coverage for front desk operations as needed, including greeting guests, managing visitor access, and maintaining a professional office presence.


Ideal Experience

  • College degree preferred
  • 4+ years of administrative experience with a record of professional success; financial services experience strongly preferred but not essential.
  • Strong knowledge of Microsoft Office products with emphasis on Outlook, experience with Workday.
  • Excellent verbal, writing, organization, and communication skills.
  • Excellent multi-tasking and time management skills with a strong sense of urgency.
  • Proactive, detail-oriented, with a high degree of professionalism.
  • Experience with domestic and international travel arrangements.
