A confidential, globally recognized law firm is seeking an experienced Legal Support Specialist to join its Commercial Real Estate team in Miami. This is a fantastic opportunity to join a highly collaborative, team-oriented group known for its strong culture, social environment, and supportive dynamic.

This role will support a fast-paced, energetic, and highly demanding female attorney, and requires someone who is sharp, proactive, and extremely organized. The ideal candidate is career-focused within a Legal Assistant/Legal Secretary track (not looking to transition into a paralegal role) and brings strong commercial real estate experience.

Position Overview

This role provides high-level administrative and legal support within the Commercial Real Estate practice. Responsibilities include managing day-to-day workflow, supporting complex real estate transactions, coordinating closings, and handling administrative operations for assigned attorneys. The position requires a candidate who thrives in a deadline-driven environment and can effectively manage multiple priorities.

Key Responsibilities

  • Draft, edit, and proofread legal documents including correspondence, memoranda, and closing documents
  • Assist with preparation of closing statements, disbursements, binders, and title policies
  • Coordinate real estate transactions, including title matters, lien searches, and electronic recordings
  • Manage attorney calendars, schedule meetings, and coordinate travel arrangements
  • Handle client communication and assist with client-specific requests, including billing requirements
  • Maintain and organize legal files in both electronic and hard copy formats
  • Track and manage document execution and delivery
  • Open new matters, draft engagement letters, and process expenses and reimbursements
  • Collaborate with paralegals and other support staff to ensure seamless workflow
  • Provide general administrative and project support as needed

Qualifications

  • 7+ years of experience as a Legal Assistant or Legal Secretary within a commercial real estate practice at a mid-to-large law firm
  • Strong experience supporting real estate transactions and closings
  • Proficiency in Microsoft Office Suite and document management systems (iManage preferred)
  • Experience with title coordination tools such as Simplifile is a plus
  • Bilingual (English/Spanish) preferred
  • Exceptional organizational skills, attention to detail, and ability to multitask
  • Strong communication skills and a proactive, team-oriented mindset
  • Ability to work independently and handle a high-volume workload under tight deadlines
