We are a thriving construction defect litigation and insurance defense firm based in Diamond Bar, California. With nine attorneys and approximately twenty staff firm-wide, we represent a broad range of construction trades and work with major carriers

We are seeking an experienced Legal Billing Specialist to join our team and take full ownership of our billing operations. This is a high-impact role that directly drives firm revenue. You will work closely with firm leadership, attorneys, and paralegals to ensure timely, accurate, and compliant invoicing across all matters and carrier relationships. This position is fully remote.

Job Details

Key Responsibilities
  • Manage end-to-end billing for all active matters, including time entry review, invoice preparation, and submission across all billing platforms
  • Prepare and submit LEDES 1998B formatted invoices for insurance carrier clients, with strict adherence to carrier-specific billing guidelines and activity/task codes
  • Work within carrier e-billing portals including TyMetrix (Gallagher Bassett), as well as Nationwide and Scottsdale billing systems
  • Review and edit attorney and paralegal time entries for compliance with firm billing standards, banned terminology, block billing rules, and description quality requirements
  • Coordinate with timekeepers (attorneys and paralegals) to ensure timely time entry submission and accurate billing
  • Manage billing in Sage Timeslips (or equivalent legal billing software); generate invoices, run reports, and reconcile accounts
  • Track outstanding invoices, follow up on unpaid balances, and assist with collections communication
  • Maintain billing records, matter codes, and client/matter setup in firm systems
  • Identify and flag potential billing compliance issues before submission; proactively enforce firm billing guidelines
  • Assist with billing audits and carrier billing guideline reviews
  • Generate periodic billing and revenue reports for firm leadership

Required Qualifications
  • Minimum 3 years of legal billing experience, preferably in a litigation, insurance defense, or construction defect firm
  • Demonstrated proficiency with LEDES 1998B billing format and task-based billing (ABA/UTBMS codes)
  • Experience with at least one major legal billing platform (Sage Timeslips, Clio, MyCase, BillQuick, or equivalent)
  • Familiarity with insurance carrier e-billing portals and carrier billing guidelines
  • Strong attention to detail and ability to catch and correct billing description issues before submission
  • Excellent written communication skills for coordination with attorneys and carrier contacts
  • Ability to work independently and meet billing cycle deadlines without close supervision

Preferred Qualifications
  • NALS certification (ALS, PLS, or PP designation) or equivalent professional legal credential
  • Experience with Gallagher Bassett TyMetrix or similar carrier billing systems
  • Prior experience billing for Nationwide, Scottsdale, or other major insurance carriers
  • Familiarity with California-specific billing and litigation practices
  • QuickBooks or other accounting software familiarity for billing reconciliation
  • Experience in a construction defect or general liability insurance defense firm

Software & Systems
We currently use Sage Timeslips and are open to evaluating other best-in-class legal billing platforms. The right candidate will help inform that decision.
