Responsibilities:
Accounting & Financial Duties
- Assist the Chief Financial Officer in managing firm finances
- Handle client billing, including review, corrections, and distribution of bills
- Process attorney time entries and client-related expenses
- Generate invoices for consultations and services and process vendor invoices
- Reconcile client expenses and credit card statements
- Process and track scheduled payment and follow up on outstanding balances
- Track, record, and deposit checks
- Maintain and update accounting spreadsheets
- Provide financial reports to attorneys as needed
Administrative & Office Operations Duties
- Answer phones and direct calls professionally
- Process, scan, and distribute incoming/outgoing mail, track certified mail and maintain postage logs
- Assist with file management, including closing client matters
- Order and organize office supplies and physical files
- Maintain shared office spaces (copy room, kitchen, etc.)
- Support attorneys with admin. tasks (faxing, mailing, document handling, printing)
- Enter prospective client information into firm systems
- Assist with weekly email communications, reminders and potentially client intake
- Run occasional office errands as needed
Requirements:
- 2+ years of bookkeeping, accounting, and/or administrative experience
- Strong knowledge of basic bookkeeping principles
- Proficiency in Excel & Microsoft Office
- Excellent organizational and multitasking skills
- Professional written and verbal communication skills
- Ability to handle confidential information with discretion
- Comfortable balancing accounting and administrative responsibilities
Preferred/Bonus:
- Advanced Excel skills
- Experience with legal billing software, such as Centerbase
