Legal Billing Specialist

The Legal Billing Specialist is responsible for managing all aspects of legal billing, including invoice preparation, billing review, client billing compliance, payment tracking, and account reconciliation. This role works closely with attorneys, paralegals, clients, and the accounting team to ensure accurate and timely billing while maintaining compliance with client guidelines and firm policies.


Location: Princeton, NJ (onsite)

Salary: $55,000 - $60,000


Key Responsibilities

  • Prepare, review, edit, and process client invoices in accordance with attorney time entries and client billing guidelines.
  • Ensure accuracy of billing rates, expenses, trust account transactions, and matter-related charges.
  • Manage electronic billing submissions through client e-billing platforms, including LEDES and other legal billing systems.
  • Review and reconcile billing discrepancies, identifying and resolving issues prior to invoice submission.
  • Collaborate with attorneys and legal staff to finalize monthly billing cycles and meet client deadlines.
  • Monitor client billing requirements and ensure compliance with outside counsel guidelines.
  • Process billing adjustments, write-offs, write-downs, credits, and transfers as approved.
  • Track accounts receivable balances and assist with collections efforts as needed.
  • Respond to client inquiries regarding invoices, billing statements, and payment status.
  • Generate billing reports, aging reports, and financial analyses for management review.
  • Maintain accurate client and matter records within the firm's billing and accounting systems.
  • Assist with month-end and year-end accounting activities related to billing and revenue recognition.
  • Support audits and financial reviews by providing billing documentation and records.
  • Ensure confidentiality of client information and compliance with legal industry standards.


Qualifications

  • Associate's degree in Accounting, Finance, Business Administration, or related field preferred.
  • 2+ years of legal billing, legal accounting, or law firm finance experience.
  • Experience with legal billing software and e-billing platforms.
  • Strong knowledge of billing procedures, accounts receivable, and invoice processing.
  • Advanced proficiency in Microsoft Excel and Microsoft Office Suite.
  • Excellent attention to detail and accuracy.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
