We are a small but busy law firm looking for a Legal Assistant to serve as a document specialist. This would be a perfect role for someone who is positive, organized, detail-oriented, and enjoys interfacing with clients.
Tasks Description: Scanning, cataloging, and mailing client documents; client correspondence regarding matter stage and document status; maintaining client contact information and mailing logs
- Scan and save executed estate planning and probate documents, including executed estate plans, deeds (unrecorded and recorded), REETAs, and LLC documents
- Perform internal review of all scans and physical documents
- Scan and save attorney notes to client files
- Scan and save client documents to client files
- Update contact and matter information in Clio as part of processing executed documents
- Maintain organization of all scanned documents in Clio and Sharepoint, including proper naming conventions
- Send scans of executed documents to clients
- Prepare documents for physical mailing
- Prepare appropriate form letter for each mailing
- Accurately address all envelopes with printed labels
- Mail document packets via USPS
- Keep detailed inventory of all documents mailed
- Correspond with clients regarding incoming documents and document requests
- Process incoming documents from clients
- Track and follow up with clients regarding unsigned documents
- Correspond with clients regarding mailed documents and matter stages
- Answer billing questions
- Provide support for witnessing and notarization of documents; willingness to become a notary
- Receive and process incoming mail
- Follow detailed checklist for all processes
- Provide administrative support to attorneys
- Monitor and maintain supplies
Skills Required:
- At least 2 years of recent experience in a law firm setting supporting estate planning or general business practice
- Meticulous attention to detail
- Professional written and verbal communication skills
- Must be comfortable in a support role, receiving delegation, working independently, and completing tasks in a timely manner
- Proficiency in Microsoft Office 365
- Proficiency in Clio or similar case management system
- Excellent organizational and case management skills with a proactive approach
- Demonstrated ability to handle multiple tasks while staying calm under pressure
- Strong communication and client service skills
- Positive, team-oriented attitude and a desire to be helpful wherever needed
- Availability to work in-office Monday through Friday during the hours of 8:30 am to 5:00 pm
Physical Requirements: This is primarily a seated position working at a desk. Repetitive actions like using a mouse and keyboard, looking at computer monitors, and handling documents will be daily components of the work. The ability to process 20-40 sets of client documents per week is essential. Must have the physical ability and agility to fully perform the duties of the position including walking up stairs, bending, safely lifting 30-40 pounds while putting away office supply orders and other deliveries (usually cases of copy paper), carrying bundles of documents for mailing, and the ability to drive to and enter a mailing center.
Location: This is an onsite role based in North Seattle, WA. We are a small, but very busy, law firm with 5-7 employees.
Job Type: 40 hours per week
Benefits and Pay: We offer medical benefits, PTO and holidays, SEP IRA plan, and a friendly work environment. Pay is hourly between $30-$35/hr. DOE
