Overview

We are seeking an experienced Legal Assistant/Paralegal to support our Litigation practice group. This role is critical in enhancing attorney efficiency by managing case information, coordinating legal processes, and assisting with client interactions.


The ideal candidate is highly organized, detail-oriented, proactive, and thrives in a fast-paced, high-volume environment. This position requires tracking and recording billable time.


Key Responsibilities

Administrative & Client Support

  • Manage client intake, including file opening and engagement documentation
  • Handle general client correspondence
  • Maintain confidentiality of client information
  • Provide administrative and legal support to attorneys


Calendar & Coordination

  • Schedule meetings, videoconferences, and conference calls
  • Manage attorneys’ calendars and contacts via Outlook
  • Coordinate with external vendors and litigation support teams


Billing & Financial Tasks

  • Enter time for timekeepers and generate reports
  • Process expense reports and check requests
  • Assist with accounts receivable (AR) follow-ups


Case & Document Management

  • Maintain physical and electronic files
  • Organize pleadings, correspondence, and discovery documents
  • Assist with document review and large-volume productions
  • Retrieve and manage documents from databases


Litigation Support

  • Assist with case docketing and tracking deadlines
  • Prepare and finalize pleadings for State and Federal court filings
  • Support deposition preparation (binders, exhibits, etc.)
  • Assist with trial preparation (exhibits, witness binders, demonstratives)
  • Provide in-trial support (jury selection, exhibit handling, witness coordination)


Legal Research

  • Conduct legal research as needed


Time Tracking

  • Track and record billable and non-billable hours


Additional Duties

  • Perform other responsibilities as assigned


Qualifications

  • Minimum 3 years of complex commercial litigation experience in a law firm
  • Strong knowledge of State and Federal e-filing systems (preferred)
  • Excellent organizational and time management skills
  • High attention to detail and ability to multitask
  • Strong communication and coordination skills
