Job description:
GENERAL PURPOSE: Responsible for all aspects of Lease Administration, including but not limited to interpreting, documenting, tracking, abstracting, billing, and administering the comprehensive lease administration process for data efficiency and accuracy. Works in conjunction with the various departments including legal, leasing, asset management, property management, accounting and tenant services.
KEY RESPONSIBILITIES / DUTIES: Reasonable accommodations may be made to allow differently abled individuals to perform the essential functions of the job. Responsibilities include but are not limited to:
- Complete and review lease abstracts for accuracy including co-tenancies, exclusives, delivery / rent commencement dates, radius restrictions, sales volume terminations, etc.
- Input and maintain lease tracking in database in an accurate and timely manner so status is available in real-time.
- Track lease terms, commencement dates, expiration dates, renewal deadlines and termination dates. Route associated documents for abstracting
- Generate Monthly Rent Up’s and Billing reports
- Generate Lease Status Reports
- Organize lease correspondence and dates to accurately determine Rent Commencement Dates. Track dates to ensure timely billing.
- Prepare new Tenant Lease Packages including rent commencement date analysis, open notices, NNN calculations, and other recurring billing amounts.
- Liaise with 3rd party abstracting firm on executed leases, amendments, renewals, extensions, etc.
- Interpret lease clauses and covenants. Work with Property Management and Legal teams to respond to Tenant correspondence related to Lease compliance issues
- Work directly with property managers and property accountants to ensure lease terms are set up correctly in Yardi or equivalent software.
- Responsible for organizing, distributing, and saving all executed lease documents.
- Communicates with multiple departments and outside auditors on lease abstraction questions
- Coordinate review of center rent up reports and billing information
- Set up new acquisition Tenants in Yardi or equivalent as required. Including but not limited to billings and proration.
- Special projects as may be assigned
- Generate various reports, as needed.
- Other duties as assigned
MINIMUM QUALIFICATIONS: The following are the minimum qualifications which an individual needs in order to successfully perform the duties and responsibilities of this position. Please note that the minimum qualifications may vary based upon the department size and/or geographic location.
- Must have a minimum of three (3) years’ experience in commercial real estate as a lease administrator or property manager, legal assistant or leasing assistant.
- Knowledge and experience understanding legal lease language and ability to interpret same
- Must have experience with Yardi, MRI or equivalent software
- Proficiency in Excel, Word, Teams and other Microsoft Office applications as well as project management tools such as Smartsheet.
- Meticulous attention to details and accuracy
- Good interpersonal, oral, and written communication skills
- Demonstrated analytical, problem solving and critical thinking skills
- Ability to work independently and meet deadlines
- Bachelor’s Degree is recommended
