Required Skills & Experience

  • 1–3 years of experience in a Project Coordinator, Project Manager, or administrative project support role (more experience is a plus)
  • Strong technical aptitude; ability to quickly learn tools and systems (exposure to SAP and/or Yardi is a plus)
  • Proficiency in Microsoft Excel for tracking, reporting, and data management
  • Experience with budget tracking and financial oversight support
  • Ability to follow direction independently while also proactively asking questions and communicating openly
  • Strong communication skills, including experience sending internal communications and coordinating across teams
  • Highly organized with strong attention to detail across multiple workstreams
  • Experience supporting onboarding processes and administrative workflows
  • Ability to thrive in a fast-paced, evolving environment where priorities may shift daily
  • Experience with SharePoint or document management systems preferred
  • Exposure to policy and procedure development or documentation is a plus

Day-to-Day Responsibilities

  • Support onboarding of new Project Managers and program sponsors, ensuring a smooth administrative experience
  • Maintain and update program documentation, training guides, and policies within SharePoint
  • Assist in revamping program processes, including building out policies and procedures
  • Manage invoice tracking and processing (including Yardi, if applicable)
  • Track and support budget management activities, ensuring financial accuracy
  • Confirm and document executed contracts and maintain related records
  • Coordinate and schedule monthly stakeholder calls, including sending communications and managing logistics
  • Draft and distribute internal communications to keep stakeholders aligned
  • Provide general administrative and operational support to ensure projects run smoothly
  • Partner closely with leadership, maintaining an open line of communication and proactively escalating questions or blockers
  • Adapt to evolving priorities, especially within SAP-related initiatives
