Job Title: Facilities Coordinator 3Job DescriptionThe Facilities Coordinator will provide comprehensive support to the Workplace Experience team with operational activities in maintenance and operations, vendor oversight, equipment and supplies, and occupancy services. You will proactively develop and maintain client relationships, ensuring that expected service levels are achieved.
Responsibilities
- Actively support an environment of teamwork, cooperation, performance excellence, and personal success.
- Conduct daily walkthroughs to maintain a clean, organized, and fully functional office environment while identifying maintenance, repair, cleaning, and equipment needs.
- Execute work orders, preventative maintenance, and service requests with minimal client disruption and in a timely manner, ensuring KPI compliance and excellent customer service.
- Maintain preventive maintenance visibility by proactively inspecting critical areas and servicing appliances.
- Identify opportunities for improved operation and service excellence, making recommendations for conducting site inspections and assessments to ensure all building procedures and performance measures are maintained and provide a safe workplace.
- Perform minor maintenance tasks including light touch-up painting, light bulb replacement, and basic repairs and installs.
- Schedule and manage repairs and maintenance, minor works, and other work requests, tracking to completion when they cannot be performed in-house.
- Coordinate vendors, facilities staff, and service providers across all building systems including plumbing, electrical, HVAC, and general contracting to ensure seamless facility operations and minimal disruption.
- Assist with furniture moves, cube reconfigurations, and general moves as required.
- Provide coordination and support for events and meetings as required, including arranging tables, décor, audio/visual equipment, and temperature adjustments.
- Update and maintain accurate records and official documentation for the site/s, including web pages and other activities to support operations, including but not limited to moves/re-configurations, events, reception, and building operations.
- Maintain and propose emergency response plans, including evacuation, implementation of after-hours emergency response, and environmental health and safety.
- Comply with all requirements of the client contract and meet or exceed Key Performance Indicators.
- Deliver an exceptional quality of service as reflected by client feedback.
- Coordinate site operations in accordance with all agreed policies, procedures, and contract scope.
Essential Skills- Prior experience in facilities, property management, hospitality, or related fields.
- Ability to lift up to 50 lbs and move furniture as needed.
- Knowledge of local occupational health and safety requirements, critical facilities, and vendor management for specialized services.
- Understanding basic technical aspects of property, such as computer room air-conditioning, chiller system, fire protection system, and mechanical & electrical system.
- Proficiency in a range of information technology tools and platforms.
- Excellent communication, organization, and problem-solving skills.
- Ability to work independently with little supervision and effectively deal with stressful situations.
- Self-motivated, confident, energetic, and flexible.
Additional Skills & Qualifications- Customer service skills.
- Experience in facilities maintenance and vendor management.
- Office management and white glove service.
- Proficiency in work orders and Microsoft Office.
Work EnvironmentThe position is based in Austin, TX, with a work schedule from Monday to Friday, 8 AM to 5 PM. The role involves both administrative and physical tasks, requiring the ability to lift and move furniture. The work environment is dynamic, promoting teamwork, cooperation, and performance excellence.

Pay and BenefitsThe pay range for this position is $25.00 - $25.00/hr.
