We are seeking a highly organized, professional, and proactive Executive Assistant to provide comprehensive administrative and operational support to senior leadership within our health and life insurance organization. The ideal candidate will serve as a trusted partner to executives, managing schedules, communications, projects, and confidential information while helping ensure efficient day-to-day operations.

Key ResponsibilitiesExecutive Support
  • Manage complex calendars, appointments, meetings, and travel arrangements for executives.
  • Coordinate internal and external meetings, including agenda preparation, meeting materials, and follow-up action items.
  • Screen and prioritize incoming communications, including emails, phone calls, and correspondence.
  • Prepare reports, presentations, spreadsheets, and business documents.
Administrative Operations
  • Maintain accurate records, files, and confidential documentation.
  • Process expense reports, invoices, and reimbursement requests.
  • Coordinate office logistics, vendor relationships, and administrative projects.
  • Assist with special projects and strategic initiatives as assigned.
Insurance Industry Support
  • Support executives in managing relationships with insurance carriers, brokers, agents, clients, and business partners.
  • Assist with preparation of enrollment, policy, compliance, and client service documentation.
  • Track licensing, compliance deadlines, and regulatory requirements as needed.
  • Maintain confidentiality of client health and financial information in accordance with applicable privacy regulations.
Communication & Coordination
  • Serve as a liaison between executives, staff, clients, and external stakeholders.
  • Draft professional correspondence and communications.
  • Coordinate company events, training sessions, and leadership meetings.
  • Follow up on action items and ensure timely completion of executive priorities.
QualificationsRequired
  • Associate's or Bachelor's degree preferred.
  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Exceptional organizational and time-management abilities.
  • Ability to handle sensitive and confidential information with discretion.
Preferred
  • Experience in the health insurance, life insurance, employee benefits, healthcare, or financial services industry.
  • Knowledge of insurance terminology, policies, and regulatory requirements.
  • Familiarity with CRM systems and insurance management software.
  • Experience supporting C-suite executives, agency owners, or senior leadership teams.
