EXECUTIVE ASSISTANT TO MANAGING PARTNER


ABOUT THE ROLE

We are seeking a highly proactive Executive Assistant to support a fast paced law firm executive. This is not a traditional administrative role. The ideal candidate is exceptionally organized, resourceful, detail oriented, and capable of independently driving projects to completion with minimal supervision.

The successful candidate must anticipate needs, identify problems before they become issues, and consistently execute at a high level. We are looking for someone who takes ownership, follows through, and thrives in an environment where priorities move quickly.

KEY RESPONSIBILITIES

Executive Support

Manage executive calendar, travel, meetings, and scheduling.

Prepare agendas, briefing materials, and meeting follow up items.

Track action items and ensure deadlines are met.

Monitor emails and proactively flag important issues requiring attention.

Project Management

Coordinate conferences, speaking engagements, industry events, and client meetings.

Manage event logistics, registrations, itineraries, reservations, and follow up.

Track ongoing projects and provide regular status updates.

Identify bottlenecks and independently propose solutions.

Operational Support

Ensure materials, presentations, and supporting documents are prepared in advance of meetings.

Monitor ongoing initiatives and follow through until completion.

Coordinate with vendors, consultants, clients, and internal team members.

Create and maintain systems, checklists, and workflows to improve efficiency.

Communication & Follow Through

Serve as a liaison between executives and staff.

Ensure instructions are clearly communicated and executed.

Follow up persistently on outstanding tasks.

Escalate issues early rather than waiting for deadlines to pass.

Before a meeting, you have already reviewed the agenda, gathered supporting materials, identified missing information, and prepared the executive.

When a process breaks, you investigate the issue, identify the root cause, and recommend a solution.

When delegated a task, you own it through completion rather than waiting for repeated follow up.

You proactively communicate updates and next steps without being asked.

REQUIREMENTS

3+ years of executive assistant, chief of staff, operations, project management, or similar experience.

Exceptional organizational and communication skills.

Strong proficiency in Microsoft Office, Outlook, Teams, and cloud based software.

Ability to handle confidential information with discretion.

Experience supporting senior executives in a fast paced environment preferred.
