Role Description This is a full-time, on-site Executive Assistant role based in Southlake, TX. The Executive Assistant will provide high-level administrative support to firm leadership, including managing calendars, scheduling meetings, coordinating travel, and preparing meeting materials. Daily responsibilities include handling correspondence, organizing documents, maintaining files, and assisting with presentations and reports. The role also involves preparing and tracking expense reports, coordinating internal and external communications, and ensuring executives are informed and prepared for key meetings and deadlines. The Executive Assistant will collaborate with team members across the firm, interact professionally with clients and partners, and support special projects and operational tasks as needed.
Qualifications
  • Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and travel arrangements.
  • Proficiency in Administrative Assistance tasks such as document preparation, filing, data entry, and maintaining organized records.
  • Experience preparing, reconciling, and tracking Expense Reports with attention to detail and accuracy.
  • Excellent Communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
  • Proficiency with productivity tools (e.g., Microsoft Office or Google Workspace), and comfort learning new software and systems.
  • Strong organizational and time-management abilities, with the capacity to prioritize and handle multiple tasks in a fast-paced environment.
  • Discretion and sound judgment in handling confidential information and executive-level matters.
  • Previous experience supporting executives or senior leaders in a professional services, financial, or advisory environment is preferred.
  • High school diploma or equivalent required; an associate or bachelor’s degree in a relevant field is a plus.
