Job Title: Executive Assistant

Description of Company:

This is a global real estate investment and asset management firm with a diversified portfolio spanning office, retail, logistics, multifamily, hospitality, and development properties.

They are seeking an Executive Assistant to support senior leaders within the Asset Management team. This role requires a proactive, highly organized professional who can manage complex calendars, coordinate across stakeholders, anticipate needs, and serve as a trusted partner to leadership. The ideal candidate is detail-oriented, resourceful, and capable of operating independently in a fast-paced environment.

Salary/Hourly Rate: $100,000-110,000

Position Overview:

Provide high-level executive and administrative support, ensuring smooth office operations and effective collaboration across teams. Manage schedules, coordinate meetings and travel, and support event planning.

Responsibilities:

  • Manage and maintain executives' schedules
  • Arrange meetings, conference calls, and travel accommodations
  • Prepare correspondence, reports, and presentations using office software
  • Greet visitors and handle information requests
  • Coordinate office services, including records, finances, and personnel issues
  • Support event coordination, including catering and logistics
  • Conduct research and compile data for executive presentations
  • File and retrieve corporate documents and reports
  • Provide clerical support to other departments
  • Supervise and train lower-level clerical staff
  • Process payroll information and maintain records
  • Review and improve workflow and reporting procedures
  • Ensure compliance with Equal Employment Opportunity and data privacy standards
  • Assist with additional duties as assigned

Required Experience/Skills:

  • 2-4+ years of experience supporting senior executives
  • Proficiency in Microsoft Office Suite, Google Workspace, and document management software
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality and handle sensitive information
  • Experience in scheduling, event coordination, and office administration
  • Attention to detail and problem-solving skills
  • Ability to work collaboratively with diverse teams

Preferred Experience/Skills:

  • Experience with enterprise resource planning (ERP) software
  • Familiarity with payroll and time accounting systems
  • Prior exposure to executive-level support roles
  • Supervisory experience with clerical staff

Education Requirements:

  • Bachelor's Degree
