Administrative Assistant / Junior Banker Assistant (JBA)

Location: Chicago, IL

Schedule: Monday – Friday, 9:00 AM – 5:00 PM (1-hour lunch break)

Pay Rate: $24/hr

Position Overview

A leading global financial services organization is seeking a highly organized and proactive Junior Banker Assistant (JBA) to provide administrative support to a team of 25+ investment banking professionals, including Analysts, Associates, and Junior Vice Presidents.

This role is ideal for individuals with strong customer service, administrative, or office support experience who thrive in a fast-paced, high-volume environment. The successful candidate will receive comprehensive training and ongoing mentorship while supporting a dynamic banking team. The position requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities effectively.


Key Responsibilities

  • Coordinate and schedule meetings, conference calls, and virtual meetings across multiple time zones.
  • Manage high volumes of phone calls and emails, ensuring timely and accurate communication.
  • Maintain and manage bankers' calendars, prioritizing appointments and resolving scheduling conflicts.
  • Coordinate conference room bookings and video conferencing arrangements across multiple office locations.
  • Arrange domestic and international travel, including flights, accommodations, transportation, and visa applications.
  • Schedule car services and transportation logistics as needed.
  • Process and track expense reports in a timely manner.
  • Assist with invoice processing and administrative documentation.
  • Handle ad hoc administrative projects and requests while maintaining daily workflow priorities.
  • Provide support for day-to-day team inquiries, operational needs, and administrative issues.
  • Deliver phone and vacation coverage for colleagues when required.
  • Maintain confidentiality when handling sensitive business information and executive communications.


Required Qualifications

  • 0–1 year of administrative, customer service, office support, or related experience.
  • Strong proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and commitment to accuracy.
  • Professional verbal and written communication skills.
  • Ability to interact confidently with employees, clients, and stakeholders at all organizational levels.
  • Demonstrated dependability, accountability, and professionalism.
  • Ability to work effectively both independently and within a team environment.
  • Strong problem-solving skills and resourcefulness.
  • Ability to exercise sound judgment and maintain discretion with confidential information.
  • Positive attitude with a customer-focused and service-oriented approach.

Preferred Qualifications

  • Prior experience supporting multiple individuals or teams in a high-volume environment.
  • Experience coordinating travel arrangements and calendar management.
  • Experience working in a remotely managed or hybrid work environment.
  • Financial services, banking, or professional services industry exposure is a plus.
