Executive Assistant (CEO Support)

Location: Dallas, TX (Must be local) | 95% Remote

Compensation: $80,000 – $100,000 salary


Position Overview

A growing financial services organization is seeking a highly organized and proactive Executive Assistant to provide high-level administrative and operational support to the Chief Executive Officer and Executive Leadership Team.

This role serves as a strategic partner to leadership, ensuring executives are prepared, organized, and positioned for success. The ideal candidate is energetic, fast-paced, and anticipatory, with strong attention to detail and the ability to manage competing priorities in a dynamic environment.

Although primarily remote, candidates must be located in the Dallas area to support occasional in-person needs and executive coordination.

Key Responsibilities

  • Provide comprehensive executive support to the CEO and select senior leaders
  • Manage complex calendars, scheduling, and meeting coordination
  • Maintain proactive readiness for meetings, ensuring materials are prepared 48 hours in advance
  • Coordinate domestic travel arrangements, itineraries, and expense reporting
  • Create and format executive-level presentations using advanced PowerPoint skills
  • Prepare meeting agendas, take notes, and distribute follow-up action items
  • Screen and prioritize communications on behalf of executives
  • Assist with preparation of reports, correspondence, and executive materials
  • Support special projects, strategic initiatives, and executive priorities
  • Handle confidential and sensitive information with discretion and professionalism
  • Provide occasional administrative support to additional executives as needed

Qualifications

  • 5–10+ years of experience supporting senior leadership or C-suite executives
  • Strong organizational and time-management skills with the ability to multitask
  • Demonstrated proactive approach and ability to anticipate executive needs
  • Advanced Microsoft Office skills, especially PowerPoint
  • Experience coordinating travel, scheduling, and executive expenses
  • Excellent written and verbal communication skills
  • Ability to thrive in a fast-paced, high-visibility environment
  • High level of professionalism, discretion, and sound judgment
