Duration: Mostly Monday - Friday, will require weekend work during events. Travel up to 35% for events across North America.
Job Overview:
Event Coordinators are responsible for every aspect of event planning. Main duties include selecting venues, determining the cost, arranging event services and monitoring client approval.
Key Responsibilities
- Plan and execute small to mid-sized events (100 attendees and under), including meetings, trainings, and customer programs.
- Manage hotel and venue sourcing, contracting, and implementation, including room blocks, meeting space, food & beverage, AV, and on-site logistics.
- Own and manage event registration sites for North America Residential HVAC programs.
- Build and maintain registration websites, attendee communications, and reporting using Cvent (preferred).
- Serve as a primary point of contact for hotels, venues, and select vendors.
- Partner with cross-functional teams including marketing, product marketing, sales, legal, and operations to support event execution.
- Manage multiple projects simultaneously while maintaining strong attention to detail and meeting deadlines.
- Support budget tracking, invoicing, billbacks, and post-event reconciliation.
- Contribute to continuous improvement of event processes, tools, and templates.
Required Qualifications
- Bachelor’s degree or equivalent professional experience.
- 3- 5 years of experience supporting or managing corporate events, preferably with hotel or venue contracting experience.
- Proven ability to manage multiple projects in a fast-paced environment.
- Strong organizational, communication, and problem-solving skills.
- Ability to work independently and collaboratively across teams.
Preferred Qualifications
- Experience using Cvent for event registration and reporting.
- Background in hospitality, hotel sales, event management, or corporate meetings.
- Experience supporting customer-facing or dealer-based events.
