This position reports to the Director of Development and is responsible for the operations and facilities of the shopping center. Responsibilities include overall quality assurance for the center’s common areas while maintaining and enhancing the value of the property, establishing and supporting standards and goals, managing operating budgets to provide maximum productivity.
DUTIES AND RESPONSIBILITIES INCLUDE:
Custodial and Maintenance:
· Manage the activities of the custodial and maintenance departments to maintain or improve the physical appearance and cleanliness of the property.
· Manage the Grounds maintenance program and implement daily, seasonal and other changes as needed.
· Manage the Custodial Supervisor and oversee the hiring and training of custodial and maintenance staff. Conducts discipline and termination of employees as needed.
· Manage the implementation of and ongoing compliance with all University Village programs such as Preventative Maintenance, Risk Management, Worker’s Compensation, Hazard Communication, Environmental Programs and others as developed.
· Manage the on-going inspections of the Village, noting and implementing correction of all deficiencies.
· Identify opportunities for greater efficiency and productivity; research and recommend alternative actions as appropriate.
· Work with Maintenance Lead to track Maintenance Request Forms and ensure they are being addressed.
· Manage the maintenance of a comprehensive system of inventory management for all equipment and furniture.
· Manage bi-weekly timesheets for Custodial and Maintenance departments.
Tenant and Vendor Support:
· Responsible for Tenant storefront maintenance pursuant to lease requirements (windows, awnings, gutters, sidewalks, outdoor seating).
· Responsible for required Tenant required service tickets including all HVAC equipment, pest control, landscape care, side sewer jetting and grease traps/interceptors.
· Manage HVAC and exterior cleaning contractors and Tenant participation.
· Manage center wide trash program and vendors. Ensure programs are operational and scheduled for timely pick-up.
· Responsible as first point of contact for all outside vendors and working with Security department for applicable access and approvals.
· Maintain all maintenance vendor contracts, insurance and track renewal periods.
· Support Director of Development with on-going Tenant construction including remodels and capital projects.
Budgeting:
· Manage the day-to-day expenditures for common area maintenance.
· Ensure expenditures are charged appropriately.
· Work with accounting for all utility tracking and expense reconciliation.
· Ensure accounting has the documentation required for all billable maintenance services.
· Participate in annual operations budget projections and assist accounting with budget review.
· Review and negotiate pricing for all vendor contracts.
Other Management Duties:
· First point of contact for any Vendor or Tenant facilities questions.
· Primary support for the Director of Development.
· Supervise all Maintenance and Custodial responsibilities and Tenant communication of Office Manager.
· Reviews, analyzes, and evaluates operational procedures.
· Implement policies and procedures that will improve day-to-day operations.
· Ensure work environments are appropriate and safe.
· Communicates and explains new directives, policies, or procedures to team members, meets regularly with staff to explain changes, answer questions, and maintain morale.
· Manages City of Seattle project/filing requirements, including but not limited to, Annual Energy Benchmarking, Backflow Device Testing, and Tune-Up’s.
· Order select operations supplies and research alternatives for both custodial and maintenance teams.
· Oversee exterior furniture ordering and ensure furniture onsite stays clean and organized to match the approved map.
· Support all other departments as needed.
