Customer Account Coordinator
Position Summary
We are seeking a customer-focused and detail-oriented Residential Sales Coordinator to support the Residential Sales team through the full order-to-invoice process. This role serves as a key point of contact for builders, customers, sales, credit, and operations teams, ensuring orders are processed accurately, billing information is maintained, and customers receive excellent service throughout the project lifecycle.
This position is ideal for someone with strong customer service experience who enjoys working in a fast-paced environment, managing multiple priorities, and following established processes.
Key Responsibilities
- Manage residential orders from initial customer request through billing and invoicing
- Serve as a primary point of contact for customers, builders, and internal teams via phone, email, and text
- Track purchase orders, lot numbers, addresses, and builder-specific requirements to ensure accurate order processing
- Create and maintain spreadsheets, reports, and customer records to support billing and operational activities
- Coordinate with sales, credit, dispatch, and customer service teams to resolve issues and ensure a smooth customer experience
- Verify order information and assist with invoice corrections and billing-related questions
- Maintain builder profiles, project documentation, and job files
- Support reporting, data tracking, and administrative activities for the Residential Sales team
- Assist with specialty orders, customer inquiries, and other sales support functions as needed
- Identify opportunities to improve processes and enhance the customer experience
Qualifications
- 3+ years of customer service, sales support, order management, or coordinator experience
- Strong communication skills and confidence interacting with customers and internal teams
- Proficient with Microsoft Office, particularly Excel, Outlook, and Word
- Highly organized with strong attention to detail
- Ability to manage multiple tasks and priorities in a fast-paced environment
- Quick learner who can work independently and adapt to new systems and processes
- Process-oriented mindset with a focus on accuracy and follow-through
- Team player who is comfortable asking questions and collaborating with others
- Experience supporting billing, invoicing, purchase orders, order entry, or customer account management
