Chief of Staff

Stealth AI Startup
New York, NY

Location: New York, NY

Job Type: Full-time, 5 days a week on-site

This role is for a stealth AI company incubated by Pareto Holdings, an early-stage venture firm that builds and invests in new companies.

This is a hands-on operating role at an early-stage company — not a venture capital or finance position. You will work directly with the CEO and leadership team to help build and scale the company from the ground up.

Position Summary:

We are seeking a Chief of Staff to serve as a high-leverage operator working directly with the CEO to drive clarity, execution, and scale across the company. This role sits at the center of the business — translating strategy into action, building internal systems, and ensuring the company operates effectively as it grows.

This is not a purely coordination role. It is an execution-heavy position for someone who wants to operate like a founder, take ownership of critical initiatives, and help build a company from 0 -> 1.

Essential Duties and Responsibilities:

  • Partner closely with the CEO and executive team to drive company-wide priorities and strategic initiatives
  • Translate high-level strategy into clear action plans, timelines, and ownership across teams
  • Identify operational bottlenecks and ensure consistent follow-through on key initiatives
  • Own and manage internal business operations, including finance workflows, vendor management, and organizational planning
  • Support budgeting, spend tracking, and financial reporting in collaboration with external accounting partners
  • Prepare materials for internal and external stakeholders, including operating plans, investor updates, fundraising materials, and board communications
  • Build and maintain key metrics dashboards and reporting systems to track company performance
  • Lead and improve core operating cadences, including: Weekly leadership meetings, goal setting and progress tracking (OKRs or similar), and cross-functional project updates
  • Implement and manage internal tools, systems, and workflows across: Documentation and knowledge sharing, onboarding and team processes, and compliance and operational infrastructure
  • Work cross-functionally with engineering, lab, and business teams to ensure alignment and execution
  • Support and lead special projects or other high-priority initiatives as needed by leadership

Requirements:

  • Bachelor’s degree required
  • 2 - 4+ years of experience in investment banking, consulting, finance, or strategy & operations at early-stage startups
  • Strong organizational and systems-thinking skills with high attention to detail
  • Ability to operate comfortably in ambiguous, fast-paced environments and bring structure where needed
  • High ownership mindset with a bias toward action and execution
  • Strong communication skills, both written and verbal
  • Ability to work cross-functionally with technical and non-technical teams
  • Comfortable working directly with executive leadership
  • Financial fluency and comfort working with spreadsheets, budgets, and performance metrics

Working Conditions:

  • 5 days in office, full-time
  • Combination of office, collaborative team environments, and cross-functional working
  • Fast-paced, early-stage startup environment with evolving priorities
