We are currently seeking an Administrative Coordinator. This position is onsite in Frankfort, KY. There is no option for a hybrid or remote work schedule. The work hours are 8:00am-5:00pm EDT, Monday through Friday with a one-hour lunch. Some communications/work after 5:00pm EDT may be occasionally required depending upon our clients’ needs. Candidates must have their own reliable transportation with a valid driver’s license. Candidates must be able to pass a drug test prior to employment. Candidates within five miles of Frankfort, KY with prior government experience are highly desired.

Job Description:
We are looking for an Administrative Coordinator who has a positive and mature attitude. This person must be able to work independently as well as with other coworkers who are working remotely. To succeed in this role, you should be an excellent and proactive communicator and bring the ability to build rapport with employees and clients. We also expect you to be a strategic thinker with an analytical mind and strong problem-solving skills.
Responsibilities:
Employee Engagement & HR Support
- Provide HR-related support to employees, including onboarding, offboarding, and issue resolution.
- Ensure that contract employees are well-informed, engaged, and satisfied with their placements.
- Manage and address employee relations issues professionally and efficiently to maintain workforce stability.
- Oversee new hire processes, ensuring compliance with client and company requirements.
Business Development & Market Presence
- Collaborate with internal teams to develop strategies that improve client satisfaction and retention.
- Represent Quantam at industry conferences, networking events, and client meetings to reinforce our brand presence.
- Assist in proposal development and contract renewals, contributing to the expansion of business opportunities.
- Maintain knowledge of market trends and client needs, proactively recommending staffing solutions.
Event Coordination & Marketing Support
- Plan, coordinate, and attend client and employee engagement events.
- Assist in corporate marketing efforts, including branding, social media content, and public relations.
- Develop and share engaging content that promotes client engagement and enhances Quantam’s reputation.
Administrative/Other
- Maintain and order inventory of promotional and marketing items.
- Shipping out and receiving employee and company equipment.
- Promote company events.
- Make daily visits to client and employee locations to foster relations.
- Coordinate employee and client events.
- Encourage good client service practices.
- Help promote and maintain a positive company image.
- Aim to retain employees, clients, and new business.
Qualifications:
- Bachelor’s degree preferred, or equivalent experience in HR, staffing, or account management.
- At least two years of experience in management, staffing, HR, or sales.
- Ability to thrive in a fast-paced, high-energy work environment where multitasking is essential.
- Strong communication, negotiation, and interpersonal skills to effectively manage client and employee relationships.
- Ability to problem-solve and proactively address client and employee concerns.
- Experience managing contracts, business development, or account retention is a plus.
- Highly organized and detail-oriented with the ability to manage multiple priorities at once.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
- Knowledge of IT staffing or government contracting is highly desirable.
- Intuitive to client and employee needs.
- Positive and respectful attitude.
- Strong communication and interpersonal skills and the ability to build and maintain relationships.
- A background in customer service or sales is a plus.
- Attentive to detail and organized.
- Must be self-motivated, flexible, and able to manage several tasks at one time.
- Ability to manage a calendar.
