Job Summary:

The Center’s Administrative Assistant to the CEO serves as a strategic partner and operational extension of the Chief Executive Officer. This role anticipates needs, removes obstacles, and supports the CEO’s time to focus on organizational priorities. The Administrative Assistant proactively manages a complex calendar, correspondence, travel, and meeting logistics with precision and discretion, preparing agendas, reminding of meetings prior to them starting, takes notes during select meetings, reminding CEO of the need to conclude a meeting prior to its end time, briefing materials, and itineraries while identifying potential conflicts and recommending solutions. They connect across departments to ensure every engagement supports the CEO, their time, and The Center’s mission.

Beyond executive support, this role strengthens and supports the office’s administrative infrastructure. The ideal candidate is highly organized, detail-oriented, able to manage multiple priorities in a fast-paced environment, exercises sound judgment, anticipates needs, handles confidential matters with discretion, and proactively suggests improvements to enhance efficiency and accountability.


Duties/Responsibilities:

CEO Support

  • Serve as a strategic partner to the CEO, ensuring her time, focus, and decision-making capacity are thoughtfully supported and optimized. Manage a dynamic and complex calendar, prioritizing requests in alignment with organizational goals while allowing appropriate time for preparation, travel, and follow-up.
  • Anticipate needs, streamline workflows, and coordinate all logistics to ensure the CEO is fully prepared for meetings, travel, and key initiatives. Prepare agendas, briefing materials, and correspondence, and provide general administrative and writing support as needed.
  • Support day-to-day execution by ensuring meetings—both in-person and virtual—run smoothly, including advance preparation of materials and spaces. Attend meetings when requested to capture key takeaways, action items, and next steps.
  • Coordinate travel and expense management with accuracy and efficiency, and handle all matters with a high level of discretion and professionalism. Provide occasional personal support when needed to help maintain focus on organizational priorities.


Office Administration & Operational Efficiency

  • Support the day-to-day operations of the office by maintaining organized, efficient systems that enable team productivity and a positive working environment.
  • Oversee office logistics including supplies, technology, vendor coordination, and general maintenance, ensuring all spaces and tools are ready for daily use. Manage front desk responsibilities, phone coverage, and guest experience, creating a welcoming and professional environment for all visitors.
  • Maintain accurate records, support basic data entry, and assist with administrative budget tracking and invoice coordination to ensure operational clarity.


Board & Development Support

  • Support effective board engagement and governance by coordinating logistics, communications, and materials for Board and Committee meetings.
  • Prepare and distribute polished board materials in collaboration with internal teams, ensuring accuracy, consistency, and timeliness. Assist with meeting coordination, documentation, and follow-up to support clear communication and accountability.
  • Partner with the Development team to support CEO engagement in donor relations and stewardship efforts.


Programmatic & Event Support

  • Provide logistical and administrative support for programs, events, and marketing initiatives, helping to ensure a seamless experience for participants, partners, and stakeholders.
  • Remain adaptable to evolving organizational needs, with responsibilities shifting as priorities grow and change.


Education and Experience: 

Qualified candidates will have the following education and professional experience:

  • Proven work experience as an Administrative Assistant, Coordinator, Administrator, or similar role, 4+ years minimum experience required.
  • High School diploma and college degrees required.
  • Ability to manage multiple priorities and work independently.
  • Proficiency in Google Workspace, Microsoft Office, Project Management software like Asana or Basecamp, Canva, etc.
  • Experience in writing is a plus.

Also flexible in requests made by the CEO, even if personal, to ensure the CEO can maximize all available time towards organizational priorities.
  • Exceptional Organization: Maintains meticulous systems, processes, and workflows to ensure accuracy, efficiency, and consistency across all tasks, projects, and communications with attention to detail.
  • Professionalism: Maintains a polished, professional demeanor at all times, representing The Center with integrity and warmth. Treats guests, donors, participants, vendors, and team members with kindness and respect while supporting a welcoming and inclusive environment.
  • Communication: Excellent verbal and written communication skills, with the ability to articulate design concepts, ghostwrite for the CEO, and collaborate effectively with diverse teams.
