Job Title: Temporary Administrative Assistant (COO Support)

Location: Moonachie, NJ (On-site, 5 days/week)

Schedule: Monday–Friday, 8:00 AM – 4:00 PM

Duration: 4–8 weeks (temporary assignment)

We are a fast-paced cosmetics company focused on innovation, quality, and delivering exceptional products to our customers. We are seeking a highly organized and proactive Temporary Administrative Assistant to support our Chief Operating Officer (COO) during a busy operational period.

Position Summary:

The Temporary Administrative Assistant will provide direct support to the COO, ensuring smooth day-to-day operations and efficient coordination of administrative tasks. This role requires strong attention to detail, discretion, and the ability to manage multiple priorities in a dynamic environment.

Key Responsibilities:

  • Provide daily administrative support to the COO
  • Manage calendars, schedule meetings, and coordinate appointments
  • Prepare and organize documents, reports, and presentations
  • Handle correspondence, including emails and phone calls, on behalf of the COO
  • Assist with internal communication and coordination across departments
  • Maintain organized filing systems (digital and physical)
  • Coordinate travel arrangements and logistics, if needed
  • Support special projects and operational initiatives as assigned
  • Perform general office duties such as ordering supplies and maintaining office organization

Qualifications:

  • Previous administrative or executive assistant experience preferred
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to handle confidential information with discretion
  • Detail-oriented with the ability to multitask and prioritize effectively
  • Professional demeanor and strong work ethic

Additional Requirements:

  • Must be available to work on-site in Moonachie, NJ, Monday through Friday
  • Ability to commit to the full duration of the assignment (4–8 weeks)
