Job Title: AP Specialist
Location: North Austin, TX (Hybrid)
Job Type: Direct Hire
Compensation: $45,000 - $50,000 per year
Responsibilities
- Process high-volume invoices and credit memos with accuracy and efficiency
- Review invoices for correct vendor details, pricing, tax, terms, and mathematical accuracy
- Code invoices to appropriate general ledger accounts
- Assist with invoice approvals and route items to appropriate stakeholders as needed
- Run and review AP aging reports, identifying discrepancies and items for escalation
- Reconcile vendor statements and AP reports on a monthly basis
- Retrieve invoices and documentation from vendor portals
- Support vendor onboarding and maintain accurate vendor records
- Collaborate with vendors and internal teams to resolve discrepancies and payment issues
- Assist with corporate credit card transactions, setup, and reconciliations
- Process weekly check runs and prepare payments for distribution
- Maintain organized electronic filing systems and recommend process improvements
- Support month-end close activities, including account reviews and journal entries
- Assist with year-end reporting, including 1099 preparation
- Support system troubleshooting and process improvements within AP workflows
- Handle additional administrative and special project tasks as needed
Qualifications
- High school diploma or equivalent required; Associate’s degree preferred (or equivalent experience)
- 1–2+ years of Accounts Payable or related experience preferred
- Experience with ERP systems; familiarity with major platforms is a plus
- Strong data entry skills with high attention to detail
- Proficiency in Microsoft Excel and other Office tools
- Solid organizational, time management, and problem-solving skills
- Strong communication skills with the ability to work cross-functionally
- Ability to manage deadlines in a fast-paced environment
- High level of professionalism and confidentiality
