Accounting Specialist
The Accounting Specialist performs a variety of accounting functions supporting both Accounts Payable and Accounts Receivable operations, including vendor payments, billing, collections, job cost accounting, and month-end reporting. This position works closely with Project Managers, vendors, customers, and internal departments to ensure accurate and timely financial transactions.
Monday through Friday, 7:30am to 4:30pm (some flexibility with manager approval)
Duties & Responsibilities
- Billing and Accounts Receivable
- Assist with preparation and processing of customer invoices
- Support project managers with billing documentation
- Monitor accounts receivable aging and assist with collections
- Maintain accurate customer records and billing files Accounts Payable
- Monitor AP email inbox and respond to vendor inquiries
- Enter and code vendor invoices into the accounting system
- Process check runs and electronic payments
- Reconcile vendor statements and resolve discrepancies
- Maintain vendor records including W-9 documentation Accounting Support
- Assist with monthly reconciliations of accounts payable and receivable
- Support month-end closing processes
- Prepare reports and schedules as requested by the Controller
- Maintain organized electronic and physical accounting records General Support
- Respond to internal and external requests in a timely and professional manner
- Assist with special projects and other accounting-related tasks as needed
Qualifications
- Associate or bachelor’s degree in accounting, Finance, or related field, or equivalent work experience
- 3+ years of accounting or bookkeeping experience preferred
- Experience with accounts payable and accounts receivable processes
- Construction or project-based accounting experience preferred
- Experience with Acumatica or similar accounting software preferred
- Proficiency in Microsoft Excel, Word, and Outlook
- Strong attention to detail and accuracy, Excellent organization and time management skills, Ability to manage multiple priorities and meet deadlines, Strong written and verbal communication skills
- Ability to work independently and collaboratively
