Accounting Specialist

The Accounting Specialist performs a variety of accounting functions supporting both Accounts Payable and Accounts Receivable operations, including vendor payments, billing, collections, job cost accounting, and month-end reporting. This position works closely with Project Managers, vendors, customers, and internal departments to ensure accurate and timely financial transactions.

Monday through Friday, 7:30am to 4:30pm (some flexibility with manager approval)

Duties & Responsibilities

  • Billing and Accounts Receivable
  • Assist with preparation and processing of customer invoices
  • Support project managers with billing documentation
  • Monitor accounts receivable aging and assist with collections
  • Maintain accurate customer records and billing files Accounts Payable
  • Monitor AP email inbox and respond to vendor inquiries
  • Enter and code vendor invoices into the accounting system
  • Process check runs and electronic payments
  • Reconcile vendor statements and resolve discrepancies
  • Maintain vendor records including W-9 documentation Accounting Support
  • Assist with monthly reconciliations of accounts payable and receivable
  • Support month-end closing processes
  • Prepare reports and schedules as requested by the Controller
  • Maintain organized electronic and physical accounting records General Support
  • Respond to internal and external requests in a timely and professional manner
  • Assist with special projects and other accounting-related tasks as needed

Qualifications

  • Associate or bachelor’s degree in accounting, Finance, or related field, or equivalent work experience
  • 3+ years of accounting or bookkeeping experience preferred
  • Experience with accounts payable and accounts receivable processes
  • Construction or project-based accounting experience preferred
  • Experience with Acumatica or similar accounting software preferred
  • Proficiency in Microsoft Excel, Word, and Outlook
  • Strong attention to detail and accuracy, Excellent organization and time management skills, Ability to manage multiple priorities and meet deadlines, Strong written and verbal communication skills
  • Ability to work independently and collaboratively
