Position Summary
The Legal Secretary provides administrative and clerical support to attorneys and legal teams, ensuring accurate document production, effective calendar and case management, and professional client service. This role requires strong attention to detail, discretion with confidential information, and the ability to manage multiple deadlines in a fast‑paced legal environment.
Key Responsibilities:
- Prepare and assemble filings, exhibits, binders, and hearing/trial materials.
- Maintain organized electronic and physical matter files; manage version control and document naming conventions.
- Track document deadlines and ensure timely completion and delivery.
- Prepare and submit filings in compliance with court rules and local procedures (e.g., e‑filing systems filings in both California state and federal courts including service and certificate documentation.
- Coordinate process service, subpoenas, and related tracking.
- Maintain filing calendars and docket updates; monitor notices, orders, and scheduling requirements.
- Manage attorney calendars, including court dates, client meetings, depositions, mediations, and internal deadlines.
- Coordinate travel arrangements and itineraries; prepare expense documentation when needed.
- Schedule conference calls and virtual meetings; arrange meeting materials and conference room logistics.
- Serve as a professional point of contact for clients, courts, vendors, and internal stakeholders.
- Screen calls and messages; route matters appropriately and track follow‑ups.
- Coordinate client intake and matter opening; assist with engagement letters and conflict checks.
- Enter and edit time; prepare and review invoices; coordinate billing questions with accounting.
- Assist with expense tracking, reimbursements, and purchase requests.
- Support matter administration, including updating client/matter data in practice management systems.
- Provide backup coverage for other secretaries and administrative staff.
- Contribute to process improvements, templates, and standard operating procedures.
- Maintain professionalism, confidentiality, and compliance with organizational policies.
Qualifications:
- High school diploma or equivalent required; associate degree or paralegal/legal studies coursework preferred.
- 2+ years of administrative experience in a legal environment (law firm, corporate legal department, or government) preferred.
- Experience with electronic filing systems (e.g., CM/ECF for federal courts, state e-filing portals, One Legal, etc.).
- Proficiency with Microsoft Office (Word, Outlook, Excel); strong Word formatting skills (styles, TOC, track changes).
- Excellent typing, proofreading, and document formatting accuracy.
- Demonstrated ability to manage multiple deadlines with minimal supervision.
- Familiarity with legal practice management, document management, and billing systems (e.g., iManage, NetDocuments, Elite, Aderant, Clio, ProLaw, PracticePanther).
- Experience supporting litigation (discovery, trial preparation), corporate (contracts, entity management), or real estate (closing documents) teams.
